What you can do

Close the sales conversation clearly

An opportunity remains open while the customer decision is pending. When the result is known, the close workflow takes the caller’s outcome and reason, sets the opportunity to Won or Lost and writes an operation receipt. A won record can show when the decision was won. A lost record can retain why the customer declined. These details support a manager’s review of outcomes by owner, expected value and account without confusing a closed discussion with a completed order.

The operation receipt is a separate record for the close action. It has an operation key, timestamp, type, status and optional actor, external reference and evidence summary. This makes it possible to inspect whether a close action succeeded or needs review. Sales Manager and Revenue Analyst should compare the opportunity status with the receipt when a result appears surprising in a report.

How the work is organized

  • Customer result. The Sales Representative supplies the won or lost outcome and reason through the close action.
  • Opportunity state. The status becomes Won or Lost while account, owner, value and prior activity remain on the same record.
  • Action evidence. The operation receipt records the close operation so a manager can investigate a failed or needs-review event.

What to agree during setup

Agree who may close a deal and what evidence the team expects before entering the result. Set a standard for a useful loss reason; a generic comment makes later analysis weak. Decide when the expected value should be corrected before closing. A win in this CRM reflects the sales outcome. If the brand fulfills or bills the sale elsewhere, the team needs to reconcile that outside event through its own process. An optional external reference on the receipt can help connect the records.

Check the handoff on an actual case

A partner accepts the product proposal. The Sales Representative confirms the account and final item discussion, records the win through the close workflow and checks that the opportunity is Won. The Sales Manager opens the operation receipt and verifies that the close action succeeded. A retention owner can later create a follow-up linked to the same opportunity, keeping the relationship context available for customer contact.

Now rehearse a decline. The representative records the reason and closes the opportunity as Lost. The manager uses the lost-opportunity list to compare reasons and asks whether the team learned anything about pricing, timing or item fit. If a close operation fails or needs review, the exception list points to the receipt. The team investigates that action before relying on the reported result.

What your team sees

  • Won Opportunities — Sales Manager reviews completed sales decisions with account, value and win date.
  • Lost Opportunities — The team reviews recorded loss reasons.
  • Operation Receipt Exceptions — Managers find close actions requiring investigation.

Follow the work through

The close outcome process describes the action. The retention review process shows how later customer contact stays linked to the opportunity.
