What you can do
Keep the working basis clear
A distributor builds a kit from stocked components. Warehouse Manager selects the effective bill of materials, routing, output product and standard cost, then approves a work order for a positive planned quantity. Warehouse Operator records actual component use and operation results. Completion moves bounded output into stock while retaining scrap and cost evidence.
How the work is organized
- Effective recipe. Warehouse Manager selects the active bill, routing, output product and standard cost for the planned work order.
- Actual operations. Warehouse Operator records good output, scrap and labor at each operation without treating intermediate throughput as final stock.
- Completion and cost. Accepted terminal output posts once; remaining work and variance stay visible for closing review.
What to agree during setup
Agree the output unit, component loss allowance, operation sequence and release authority. Confirm the effective recipe before releasing a work order. Assign a separate reviewer to the release and close decisions if the same Warehouse Manager prepared the order. Keep the frozen component basis with the released revision.
Check the handoff on an actual case
For a kit order, reserve the components needed for planned output and record a partial terminal completion. Compare actual good quantity, scrap and material use with the frozen recipe. Do not sum every operation count into finished inventory. If residual work-in-progress cost remains, have the reviewer decide its disposition before closing.
A released work order should answer which components were planned, which quantities were issued and which operation produced terminal output. Warehouse Operator records any returned material against the same work basis. If a component is short, Warehouse Manager can hold the unfinished quantity while preserving the part already completed. Cost review compares actual material and labor with the standard chosen at release. A replacement recipe applies through its own effective version; it does not revise the completed kit. The closing decision should show whether residual material or cost was resolved, rather than rely on a completed status alone.
What your team sees
- Assembly schedule — Released and active work with planned start and end dates.
- Available stock — Component positions to check before material issue.
Follow the work through
Follow kit release to close from effective recipe to variance decision. Use the data model to connect work orders, operation logs and terminal completion; check roles for independent approval.
What it keeps track of
Data model- Bill of materials
- Effective distribution assembly/repacking recipes with explicit output basis.
- BOM components
- Component quantities per explicit output basis, preserving dimensions and allowed loss.
- Routings
- Versioned assembly/repacking instructions, distinct from delivery routes.
- Routing operations
- Ordered work instructions and declared labour/overhead bases.
- Work orders
- Released bounded assembly/kitting/repacking, without plant APS or payroll scope.
- Work order components
- Frozen required input and actual traced issue/return scope.
- Work order operations
- Frozen instructions and assigned actual work.
- Production log
- Actual operation throughput, scrap and labour evidence; intermediate counts do not sum to output.
- Production completions
- Accepted terminal output and WIP cost allocation, once per actual completed scope.
- Work order cost entries
- Immutable WIP debit/credit sources and bounded actual-cost allocation.
- Cost standards
- Entity/product standard per base unit with immutable effective versions.
- Inventory
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Approval decisions
- Authoritative human decisions independent of document lifecycle.
Who uses it
Permissions- Warehouse Manager
- Selects and releases the work basis, with an independent reviewer for the decision.
- Warehouse Operator
- Records operations and completion.
- Finance Manager
- Reviews material cost exceptions when the close requires finance authority.
