What you can do

Keep the working basis clear

A customer asks for several parts at a quoted price, with delivery split across two warehouses. Sales Representative prepares an offer using the applicable price list, selling unit and tax basis. The accepted order retains the agreed quantity and value, the original promise and the customer shipping details. Sales Manager reviews the current revision. Finance Manager decides a credit exception if the proposed commitment exceeds the reviewed limit.

How the work is organized

  • Offers and terms. Sales Representative records customer, price list, product unit, tax and quote validity before sending a priced offer.
  • Credit and acceptance. Finance Manager decides a bounded credit exception; Sales Manager independently accepts the current order revision and its original promise.
  • Fulfillment claims. Warehouse Manager reserves only available stock for accepted order lines, leaving shortages visible for replenishment.

What to agree during setup

Sales Representative should bring an accepted offer, price list and customer terms into the order review. Sales Manager needs the current revision and credit result, not an earlier screen capture. Assign another authorized person if the preparer is also the usual approver. Preserve the price and promise agreed with the customer when the order changes later.

Check the handoff on an actual case

For a customer buying a kit and a stocked part, compare the accepted quantity on each line with the available stock in its warehouse. Reserve only the stocked portion. If the kit is built later, keep its remaining promise on the order. Finance Manager should review exposure across open commitments before Sales Manager accepts another order for that customer.

A useful review starts with the customer request, the sent quote and the accepted order revision side by side. Sales Representative can explain any difference in unit, price or requested date. Sales Manager should see whether another order already uses the available credit. When a delivery plan changes, the original promise remains on the line and the revised date has its own reason. Warehouse Manager can then reserve the quantity that is truly available. The team can follow what was quoted, what was accepted and what remains to fulfill without asking the customer to restate the agreement.

What your team sees

  • My open orders — Orders owned by the signed-in Sales Representative, with their current commitment and status.
  • Orders awaiting approval — Submitted orders for Sales Manager to compare with the credit decision.

Follow the work through

Open customer orders to follow acceptance and reservation. Trace the accepted line through the data model, then rehearse the independent decision with roles. Keep a changed-price example to confirm the accepted value stays fixed.
