What you can do
Make the shortage and timing decision visible
Demand begins in customer orders and customer order lines, with forecasts available for planned demand. The master production schedule holds the product, period, planned quantity and available-to-promise quantity within its planning fence. Production Planner reviews the resulting requirements against inventory and open purchasing or production. Planned orders distinguish work to make a part from a purchase to obtain it. Planning exceptions retain the action type, shortage quantity, need date and owner, so the next planning decision has a named person and an explicit need date.
How the work is organized
Working calendars describe working days and hours per day. Shifts have start and end times within a calendar. Work centers carry daily capacity and efficiency, while each work order operation records its planned interval. These records support a capacity review; the pilot must establish which constraints the planning action actually enforces.
- Validate demand before release. Approved sales demand needs positive line quantities and the appropriate finished-goods warehouse before the intake action creates demand in the master production schedule.
- Review suggestions as a set. Planned orders use Proposed, Firm, Released and Cancelled. Resolve the previous Proposed suggestion set before running another publication.
- Assign shortage work. Planning exceptions identify work to expedite, defer or cancel, along with past-due demand and shortages. Owner and need date give each open exception its next responsible person.
What to agree during setup
Agree the planning horizon, forecast consumption rule and how time fences influence changes. Confirm the bill and routing selected for a work order, the calendar used at its work center and the employee mapping for the planner’s personal queue. Choose the operation schedule the supervisor will use each morning. Agree how a late component receipt is escalated and who reviews a change to the promised production date. Keep the exception open until its supply action is explained. Rehearse calendar limits and open-supply treatment against the plant’s actual planning decisions.
Check the handoff on an actual case
An approved order needs a finished assembly before its requested delivery date, but a component receipt is late. The intake action creates the demand once from the positive quantity on each customer order line. Production Planner examines free inventory and open purchase orders before accepting a supply proposal. The shortage is recorded in planning exceptions with its need date and assigned owner.
The planner checks the operation’s planned start and end dates against the applicable work center and shift. Buyer can act on the linked purchasing requirement within purchasing access; the planner remains responsible for updating the planning exception. Ask the team to repeat demand intake, then run planning with unresolved Proposed suggestions. The rehearsal should refuse repeated intake while preserving the original demand, and refuse another suggestion publication while Proposed suggestions remain. A late purchase cannot disappear merely because the production interval was moved on a screen.
What your team sees
- MRP Shortages — Open supply actions with quantity short, need date and owner.
- My Planning Exceptions — Planning exceptions assigned to the signed-in planner, with the need date and quantity short.
- Production Schedule — Pending and in progress operations with planned start and planned end.
Follow the work through
Demand to finished parts connects release to execution. Purchase request to payment handles bought supply. Use implementation to agree the planning rehearsal before release.
What it keeps track of
Data model- Forecasts
- Forecast demand by item and period, entered or imported, consumed by actual orders as they arrive.
- Master schedule
- The master production schedule: what finished goods will be built, in what quantity, in which period, at which plant, inside its time fences.
- Planned orders
- A proposal from the MRP run: a planned work order or planned purchase, pegged to the demand that caused it.
- MRP exceptions
- The action list from the planning run: expedite, de-expedite, cancel, past due and the shortage list, sorted by need date.
- Calendars
- Working calendars for the plant and its work centres: working days, hours per day, holidays and planned downtime the planning run respects.
- Shifts
- A shift on a calendar: when it starts and ends, and the work centre it runs at.
- Work centers
- Machines, cells, and assembly stations where operations are performed.
- Work orders
- Shop-floor orders to produce a specific product in a specific quantity.
- Work order components
- Exploded BOM demand for a work order - what raw material is needed and from where.
- Work order operations
- Exploded routing steps for a work order - what runs where, in what sequence.
Who uses it
Permissions- Production Planner
- , Shop Floor Supervisor, Plant Administrator.
- Production Planner
- Owns planning records.
- Shop Floor Supervisor
- Reviews the operation schedule and coordinates assignments.
- The planner remains responsible for demand and supply changes; the supervisor brings actual floor conditions into that review.
