What you can do
Dealer orders in the operating day
Sales Representative prepares dealer demand and Sales Manager decides whether it can become an accepted commitment. A quote records the price basis; the order records the scope the team will actually fulfill.
Sales Representative opens a quote for a dealer, records the product units, quantity, discounts and tax, then checks the validity date before sending the offer. When the dealer accepts, the representative prepares the order against the accepted version and retains its original delivery promise. Sales Manager reviews credit exposure and the order revision before approval.
How the work is organized
- Prepare. Check the dealer, price list, product units and quote validity before sending an offer.
- Decide. Sales Manager checks the submitted order revision and credit review before acceptance.
- Record. Keep the original promise and any later partial fulfillment visible on the order lines.
What to agree during setup
Sales Manager and Sales Representative should agree who can change a quote after it is sent, how dealer credit holds are resolved, which price list applies, and what evidence is enough to accept an order. Set the entity, currency and payment terms before opening the first live order. Rehearse one held order and one partial shipment so the team knows where remaining demand is visible.
Check the handoff on an actual case
A dealer requests two lots of replacement parts for separate delivery dates. The representative keeps the requested quantities on separate order lines and records the ship-to address. Sales Manager sees the credit review and approves only the supported scope. If one shipment later moves, the revised promise is recorded without erasing the original promise.
At the handoff, the receiving person checks the source record, approval and remaining quantity. The team keeps the exception with its owner until the actual result is recorded.
For an order on hold, Sales Manager checks the credit review and the submitted revision before accepting any quantity. Sales Representative can then explain to the dealer which lines remain open and which promise changed. The warehouse should work only from the accepted order and its eligible reservation. When a partial shipment leaves, compare the order line with the dispatched quantity and the remaining demand. Keep the original order decision attached so a later change has a clear basis.
