What you can do
Supplier purchasing in the operating day
Purchasing Manager turns required supply into a controlled supplier commitment. Warehouse Operator records what arrived; acceptance is based on actual received quantity rather than the purchase order alone.
A buyer prepares requisition lines and a purchase order with supplier, currency, product units, destination warehouse and original promise. The approval basis retains cumulative increases, so an amendment cannot hide new expenditure inside an earlier decision. Goods Receipts records arrival separately from accepted, rejected and pending quantities.
How the work is organized
- Prepare. Tie requisition lines to the supplier, destination warehouse and product unit.
- Decide. Purchasing Manager reviews the full amended commitment before approval.
- Record. Record arrived, accepted and rejected quantities before matching a supplier bill.
What to agree during setup
Agree the receiving warehouse, buying unit, approved supplier terms and the person who reviews exceptions. Decide how rejected quantities are documented and who handles a late supplier promise. Before go-live, rehearse an amended order and a partial arrival. Keep commercial approval, physical receipt and invoice matching as separate decisions.
Check the handoff on an actual case
A supplier sends ten cases but two are damaged. Warehouse Operator records the arrival and each line’s accepted and rejected scope. Purchasing Manager follows the remaining purchase commitment. The warehouse receives only the accepted stock, and Accountant later matches the bill to the approved order and receipt evidence.
At the handoff, the receiving person checks the source record, approval and remaining quantity. The team keeps the exception with its owner until the actual result is recorded.
At arrival, Warehouse Operator records each line against the purchase order and destination warehouse. Warehouse Manager checks accepted quantity and condition before stock becomes available. Purchasing Manager still owns any short supply or amendment to the supplier commitment. Accountant matches the supplier bill to approved order scope and accepted receipt evidence. If the bill includes damaged cases, leave the difference in the match exception for review instead of increasing accepted stock to make the documents agree. The original supplier promise remains visible beside the unresolved quantity.
