Keep the person separate from each term
Students can have more than one enrollment over time. Their identity should stay stable even when the program, campus or academic year changes. Store contact information with the student record and place term-specific information on the enrollment. This avoids copying sensitive information into every classroom list and makes a transfer easier to follow without losing the original history.
How the work is organized
Attendance belongs to a scheduled session and an enrollment that is valid for that session. Faculty should see only their assigned groups. A late entry, excused absence or correction needs a clear effective date and an accountable person. Reports should distinguish missing attendance from recorded absence; an empty cell is not proof that the student was absent. The registrar can then investigate the actual exception.
- Restrict sensitive notes. Limit private notes to the staff who need them under institutional policy.
- Keep a correction trail. Record the previous attendance value, the new value, the actor and the explanation.
- Respect enrollment dates. Flag attendance outside the enrollment or after a withdrawal for review.

What to agree during setup
Map the legacy student identifier before importing historical attendance. Agree which contact fields are shared with faculty and which are restricted to the registrar. Rehearse a student transfer, a corrected absence and a faculty account attempting to open another teaching group. Confirm that a historical report still uses the enrollment and session that existed at the time.
Check the handoff on an actual case
A student transfers to a different teaching group during the term. Earlier attendance belongs to the sessions the student was enrolled in at the time. Later attendance belongs to the new allocation. Updating a current class label must not rewrite the historical register or expose the student’s restricted information to every faculty member who has ever taught them.
Now consider an attendance entry corrected after the session. Keep the original value, the corrected value and the reason the teacher supplied. A missing entry should remain distinguishable from an explicitly recorded absence. If the session was canceled, do not turn the empty register into an absence for every student.
Rehearse the transfer with the old and new faculty accounts, then ask the registrar to review the history. Check both what each account can see and what it can change. A valid correction preserves the original session and attribution while allowing the authorized team to fix the record.
Follow the work through
Use attendance exceptions to request review through the institution’s existing support process. The administrative record should not make an automatic eligibility or progression decision.
