What you can do
Run the operating handoff
Sales Representative starts with the customer account, its payment terms and applicable price list. A quote captures unit quantities, line and header discount allocations, currency and tax basis before it becomes an accepted order. For a dealer replenishing a stocked item, the team can retain the exact ordered quantity and original delivery promise while fulfilment proceeds in parts.
Sales Manager owns commercial acceptance. Finance Manager reviews a credit exception against open receivables and uninvoiced commitments. The decision belongs to the current order revision; a customer response alone does not replace internal approval.
How the work is organized
- Offer. Sales Representative checks the active customer, selling unit, price list and tax basis before releasing a quote.
- Acceptance. Sales Manager reviews the current submitted order revision; Finance Manager handles a credit exception when exposure needs separate authority.
- Remaining demand. Sales Representative follows accepted lines after partial reservation or delivery without changing the original promise.
What to agree during setup
Agree which customer terms and price version apply when a quote is prepared. Assign a Sales Manager who did not prepare the order, and define how the Finance Manager receives a credit exception. The accepted order needs a frozen quantity and net basis so later delivery and billing can use the same source.
Choose a dealer with a current price list and an order that can be delivered in parts. Enter the delivery promise before accepting the order. Have Sales Representative record a revised promise as a new decision rather than replacing the first one.
Check the handoff on an actual case
Create a quote for one stocked item and check its unit, price, discount and tax basis. Submit the resulting order and have Sales Manager approve the current revision. If the credit review requires an exception, ask Finance Manager to decide it before reservation.
Reserve and dispatch less than the accepted quantity. Compare the accepted line with its allocation and delivery lines. The remaining demand should still reflect the original commitment. Attempt a second allocation against the same quantity and confirm it cannot consume the same approved scope twice. Trace the decision back to the exact order revision.
When the dealer changes a requested quantity, Sales Representative should show Sales Manager both the prior offer and the revised order. The approval must cover the current revision, customer and net amount. A later allocation can then point to the accepted line without treating the earlier quote as a second commitment.
