What you can do

Warehouse stock in daily work

Warehouse Manager sets the entity and warehouse scope for each stock position. Inventory records the product, location, lot when used, custody state, owned quantity and reserved quantity. Available quantity follows that same position. Reservations connect demand to eligible stock; a picking or transit state remains distinct from available stock.

How the work is organized

  • Use the whole position. Warehouse Manager checks entity, product, warehouse, location and custody before reserving stock.
  • Keep transit visible. Dispatched transfer quantity stays owned in transit until destination receipt or a resolved loss.
  • Review counts. Warehouse Operator records blind observations; Warehouse Manager reviews a pending adjustment against the locked count scope.

What to agree during setup

Agree warehouse and location ownership, product units and allowed custody states. Define who may release a transfer, receive at the destination and review a blind count. A reservation must use available quantity in the exact owned position.

Rehearse a transfer with only part received at the destination. Check that the unreceived portion remains in transit and is unavailable for another pick. Then count one locked position, record the observation and require review before posting an adjustment.

Check the handoff on an actual case

When the team moves cartons to another warehouse, the transfer identifies both sites and each line’s dispatched and received quantities. In-transit quantity remains owned until received or explicitly resolved. A count locks a defined warehouse scope, records observations without revealing the expected balance to the counter, and needs review before a stock adjustment posts.

Warehouse Manager should reconcile the source and destination quantities by transfer line, including any unresolved transit or loss. Warehouse Operator records the physical receipt. For a count, keep expected quantity hidden from the counter until the observation is captured; Finance Manager reviews an adjustment that needs financial authority.

A transfer may be approved while the stock is still at the source warehouse. Only actual dispatch moves quantity into transit, and only actual receipt moves it to the destination position. After a count, Warehouse Manager should compare the observation with that position and retain the adjustment decision beside the resulting stock event.

What your team sees

  • Warehouse Availability — Active owned positions with reserved and available quantity.
  • Transfer Queue — Transfers waiting for Warehouse Manager’s release decision.
  • Count Review Queue — Blind counts awaiting adjustment review.

Follow the work through

Walk through the related process and use the data model to trace each source record. Set the owners and review boundaries in roles before an operating cycle starts.

What it keeps track of

Data model
Products
Trade goods and assembly outputs; master values do not rewrite transactions.
Product units
Versioned product-specific buy/sell packs and base conversions.
Inventory
Current owned stock by complete identity and custody state; provenance is not a second balance.
Locations
Shallow warehouse bins, staging and transit custody locations.
Warehouses
Physical sites may host segregated entity-owned positions; legal owner stays on each position.
Reservations
Exclusive bounded demand claims through picking and owned transit.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock layers
Remaining quantity/carrying value with receipt/output/return lineage.
Count plans
Blind scoped counts with explicit review and cost before adjustment.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
