Returns and corrections

Returns and corrections gives the team one place to follow the return from its source decision to the next handoff. A delivered chair arrives back after a damage report. The Warehouse Manager reviews the original shipped scope and authorizes only the eligible returned quantity. The return disposition records what is usable, held or otherwise handled. Sales Representative identifies the original delivered line and requests a return. Warehouse Manager authorizes bounded physical movement; Warehouse Operator records the disposition. Finance Manager separately reviews any credit or refund.

What you can do

How the work is organized

  • Preparation. The owner checks entity, source document and current revision before submitting work.
  • Decision. Sales Representative records the request and original line. Warehouse Manager authorizes the physical return; Warehouse Operator records the outcome. Finance Manager decides any financial correction.
  • Execution. Record the actual quantity or amount against the approved source; retain partial results and linked corrections.

What to agree during setup

Agree who requests a return, which evidence is needed, who authorizes physical movement, and when Finance Manager reviews a credit or refund. Keep the physical return decision separate from the commercial credit decision. Test a partial result and a changed document before the team relies on this handoff. Keep the approved revision beside the actual result so the next owner can see what remains.

Assign preparation and approval to different people where the decision controls value or stock. Check entity and warehouse scope with each role; finance keeps bank and valuation details within its own access.

Check the handoff on an actual case

Trace the returned line to its original delivery result. Try a quantity larger than the unreturned scope and reject it. Then review the resulting disposition and any invoice correction without rewriting the prior dispatch or posted invoice. Have the receiving owner compare the approved scope with actual quantity and unresolved work. Keep the prior decision visible when a case stops or changes.

Retry an already recorded event and check that it does not create a second stock or financial effect. Trace the correction to the original document and explain the remaining quantity to the next owner.

What your team sees

  • Return Authorization Queue — Requested returns waiting for Warehouse Manager authorization.
  • Delivery Exceptions — Shipment exceptions that may need a return or corrected outcome.

Follow the work through

Follow the order to delivery and supply and stock processes to see how this work crosses teams. Use implementation to rehearse the handoff.
