What you can do

Check both sides of the warehouse handoff

A warehouse transfer names the source facility, destination facility, item and quantity, together with a required date and status. Admin prepares the work in Draft and approves eligible scope before posting. The approved-transfer action creates linked stock movements for the same item and quantity at the relevant facilities.

The outbound record belongs to the source warehouse and the inbound record belongs to the destination. Each movement retains its transfer, item, warehouse, direction, quantity and posting date. Reading the pair together lets the team explain the recorded transfer effect and investigate a missing or mismatched side before accepting the posting result.

How the work is organized

  • Transfer instruction. Check the source, destination and item unit before approval. Use the required date to organize operating attention without changing what quantity the instruction authorizes.
  • Approved posting. Invoke the transfer action only for eligible Approved work. Inspect the resulting Outbound and Inbound records under the intended transfer.
  • Pair review. Compare the item, quantity and warehouse on both movements. Keep a duplicate or incomplete result visible while the authorized team resolves it through the agreed recovery process.

What to agree during setup

Agree who owns inventory administration and the transfer approval decision. Make the approved scope clear enough that the posting operator can identify the exact transfer without relying on a description from a message. Decide how an incorrect warehouse selection is corrected before the transfer reaches the posting step.

Define the result the team expects before marking a transfer completed. The review should account for both movement directions and the same authorized quantity. Also agree how to investigate a delayed response or partial result. Before repeating a posting action, inspect whether either effect already exists and use the supported recovery path so an uncertain response does not become duplicated stock history.

Check the handoff on an actual case

Prepare a transfer of 40 units of a packaging item from a regional facility to a city facility. Admin approves the instruction, posts it and opens the linked movement history. Confirm an outbound record for 40 at the regional warehouse and an inbound record for 40 at the city warehouse, both for the same item.

Rehearse an incomplete result where only one side is available for inspection. The team must identify the unresolved side before accepting completion. Repeat the review with the wrong quantity on a movement and explain the mismatch against the transfer instruction. Finally, inspect an already posted case before retrying it and confirm that the agreed handling avoids creating another pair for the same intended work.

What your team sees

  • Transfer Posting Queue — Approved transfers ready for their posting handoff.
  • Transfer Approval Queue — Draft instructions whose facilities and quantities still need a decision.
  • Active Inventory Items — The item and unit context used to interpret the transfer quantity.

Follow the work through
