What you can do

Start with a trading account

Sales Representative begins with the customer, its ordering and delivery contacts, payment terms and current price list. The legal entity, billing identity and credit currency belong to that customer record. A paper merchant selling stocked sheets to a regular buyer can use the same account for repeat orders while preserving each order’s agreed quantity, price and delivery promise.

A quote retains the selected product unit, quantity, allocated discounts and tax amount. The date through which the offer is valid stays with that revision. The seller records actual acceptance evidence when a customer agrees; sending an offer and receiving acceptance are separate events.

How the work is organized

  • Prepare the offer. Sales Representative selects the customer, price basis and product units, then checks the resulting net and tax amounts.
  • Review the commitment. Sales Manager independently decides whether the accepted order revision may proceed, with credit review handled on its own record.
  • Track partial work. Sales order lines retain their original promise and the quantity still open after partial shipment or cancellation.

What to agree during setup

Decide which entity sells each product, which currency applies, and who owns price-list changes. Agree how customer contacts and ship-to details are maintained. Set payment terms and credit limits before the first accepted order. Establish who prepares orders and which Sales Manager may approve them; the preparer and reviewer must be distinct people.

For a customer order split across deliveries, keep the original full promise alongside any revised promise. The sales team can explain what was committed without replacing history. The accepted net amount is carried through fulfillment and billing allocations, so a discount does not get applied a second time.

Check the handoff on an actual case

Create a quote for two product units, with a valid date and a named customer. Have the customer accept one revision. Sales Representative prepares the order; Sales Manager checks the exact revision and credit result before approval. Reserve only eligible quantity. Dispatch part of the order and leave the remainder open. Compare the accepted line with the delivery and later invoice to confirm that no stage claims more than the accepted scope.

If stock is held or the customer’s exposure exceeds its limit, resolve that decision before physical release. A changed price list should not silently reprice the approved order. A cancelled remainder should release only unused commitment, leaving actual shipments intact.

What your team sees

  • Dealer Order Board — Approved and partially shipped orders remain visible for sales and warehouse follow-up.
  • My Quotes Due — Each representative sees their offers and validity dates.
  • Sales Orders Awaiting Approval — Sales Manager reviews submitted orders before they enter fulfillment.
