What you can do
Put the project scope against its lease
Property Coordinator or Property Manager captures the development project name, parcel reference, construction start, target completion and budget. The operational record links the project to a lease. Check that agreement with the manager before creating the project so the work is attached to the intended operating context.
The project feedback and attributed evidence support investigation of a submission result. Accepted or Rejected outcomes help the team identify which case can proceed and which needs attention. Keep the submitted scope and responsible staff identity available when discussing the result. Configure and test processing on project creation during setup, before the team begins operational capture.
How the work is organized
- Scope capture. Property Coordinator enters a recognizable project name and parcel reference with the planned dates and budget. Select the correct operational lease and check the source information with Property Manager before submission.
- Submission rehearsal. Test the capture procedure with an active staff identity, the intended lease and valid project terms. Check the described date, budget and same-lease duplicate conditions during setup. Inspect the actual feedback before using the procedure for live work.
- Result investigation. Property Manager follows the project’s feedback. Agree evidence access for Admin so the authorized person can inspect the attributed result and reason. Preserve earlier evidence when investigating a rejected result and the information that caused it.
What to agree during setup
Agree how the project name and parcel reference will distinguish real work. Confirm which operational lease belongs to each project and reconcile that reference before import. Ask Property Manager to review the planned construction dates with the source information and explain the budget’s operating basis to Finance Officer.
Agree who submits the project and who inspects its result. Check the creator’s staff account and active identity during the rehearsal. Configure evidence visibility for the chosen review path, then inspect the actual result using ordinary accounts. Preserve the original attributed entry when investigating another attempt so the next person can understand the sequence.
Check the handoff on an actual case
Prepare an illustrative project named Riverside Refurbishment against the chosen operational lease. Use a June 1 construction start, September 30 target completion and budget of 80,000. Property Manager checks the name and lease link before Property Coordinator rehearses the capture procedure in a controlled workspace.
Repeat the case with the target completion before the construction start and with a duplicate project on the same lease. Inspect the project feedback and the attributed outcome for each attempt. Also test a creator whose staff identity is inactive. Compare the reason with the submitted scope before deciding which information needs correction.
The team should be able to follow the same project from its captured terms to the actual submission result. Ask the authorized evidence reader to identify the submitting person and event date, then explain the reason on a rejected case. Finish the setup rehearsal before using the result as an operating handoff.
