What you can do

Put the agreement before the reviewer

Property Manager prepares a lease for the chosen unit and tenant, with the start date, end date, monthly rent and deposit. Those terms define the agreement that Property Reviewer will consider. Keep the source agreement available through the customer’s chosen document process so both people review the same dates and amounts before activation.

Business Overview shows the scoped lease portfolio, status distribution, renewal watch and lease work queue. Use it to identify an agreement needing attention, then inspect the actual lease and unit. The reviewer decides whether an eligible agreement in Review can become Active through the lease activation action. The resulting unit position and rent charges are checked against that agreement.

How the work is organized

  • Preparation. Property Manager keeps the agreement in Draft while checking the selected unit, tenant and terms. Compare existing Active and Notice agreements for the same unit before submitting the lease for review.
  • Review. Property Reviewer uses Lease Desk to approve or reject the agreement. The activation checks include the reviewer’s active staff identity, the lease interval and rent, and competing Active or Notice leases over the same dates.
  • Activation. An approved eligible lease becomes Active. The unit becomes Reserved for a future start or Occupied as applicable. Monthly Rent charges follow the lease, with an existing period protected from being created again when the action is repeated.

What to agree during setup

Name the Property Manager who prepares the terms and the Property Reviewer who makes the activation decision. Link the reviewer’s staff record to the correct account and check that the staff identity is active. Rehearse using ordinary role accounts so the operating team understands the actual decision path before live work begins.

Agree the submission procedure and inspect the feedback after a rejected attempt. Property Manager needs to know which record requires correction before resubmitting. Also decide who reviews approaching end dates and which evidence supports the use of Notice, Ended or Cancelled. Keep that operating procedure with the people responsible for the agreements.

Check the handoff on an actual case

Prepare an illustrative lease for B-204 from January 1 through December 31 with monthly rent of 2,000. Property Manager compares the term with an existing Active agreement on that unit. Ask Property Reviewer to consider the overlapping request and inspect the result before correcting the conflict. Then submit an eligible term for the real approval decision.

After approval, inspect the lease and unit together. Check the Rent charges by their linked lease and billing periods, including the due amounts and current charge states. Repeat the activation action and confirm that the same periods have not been billed again. Finance Officer should be able to explain the resulting monthly charge population from the agreement’s terms.

Review the end-date queue with Property Manager after the rehearsal. Separate the future-start case from a lease already in effect and agree who will check the unit’s position at the appropriate operating handoff.
