What you can do
Keep the reported issue with the unit
Property Coordinator records the unit, requesting party and issue when property work needs attention. The opening date establishes when the request entered the team’s queue. An assigned staff member gives the work a clear owner, while the completion date records when the actual case was finished. Property Manager reviews how the request affects the wider unit operation.
Requests move from Open through Assigned into work in progress, then reach Completed or Cancelled. Use those states to discuss what needs attention and who will act next. Agree the team’s procedure for changing the state so a person reading the record can understand what has happened and what remains unresolved.
How the work is organized
- Capture. Property Coordinator selects the existing unit and requesting party, then writes a specific issue. “Water leak beside the kitchen sink” gives the assigned person a useful starting point. Check the opening date and the unit identity before handing over the work.
- Assignment. Select the intended staff member and confirm that the person’s record links to the correct account. Review active staff identities during setup and when responsibilities change. Keep the assignment understandable to both the coordinator and manager.
- Completion. Property Coordinator or Property Manager records the actual outcome with the completion date. Review any unresolved issue before marking the request Completed. Check the unit’s condition separately when deciding its availability or maintenance position.
What to agree during setup
Agree what makes an issue description sufficiently clear for another person to act on it. Identify which party belongs on the request and how the staff member will find the unit. Reconcile existing open work with the source register before inviting the operating team so assignments remain attached to the intended people.
Agree who checks the result and enters the completion date. Rehearse the personal service list using the signed-in account’s linked staff identity. Also check ordinary record permissions with the intended role accounts. If the work requires a contractor or a financial handoff, name the operating owner and choose the connection during implementation.
Check the handoff on an actual case
Create an illustrative leak request for B-204 with the tenant as the requesting party. Property Coordinator assigns it to the intended staff member and follows Open to Assigned. Record that work is in progress when it actually begins. Ask the assignee to find the same request through the personal service list and confirm the unit and issue.
Finish the case with the actual completion date, then compare its position with the open-work board. Run another case that is Cancelled after discussion with Property Manager. The team should be able to explain both outcomes from the request and its operating handoff, keeping the unit’s current condition visible alongside the agreement context.
Include a request with a missing completion date in the rehearsal. Ask the manager to identify the inconsistency before the team relies on the completed-work review. Check how work will be reassigned when a staff member changes role, using the existing request rather than losing the case history in another record.
