Inventory

Inventory follows a product through receiving, storage, picking, transfer and adjustment. The stock record identifies its entity, warehouse, location, lot and custody state. A physical move, a customer title transfer and a financial posting are different facts; the team needs each one to answer what is available and what is still owned.

What you can do

How the work is organized

  • Availability. Current positions distinguish available, held, picked, transit and production custody. A reservation claims eligible quantity against dealer demand or a work order.
  • Movement. Stock events preserve the source of each posted change. Transfers dispatch from one location and receive into another while retaining owned transit quantity until resolved.
  • Count. A count plan fixes the warehouse and scheduled scope. The counter records observed quantity; an independent review decides any authorized adjustment.

A receipt’s accepted quantity does not become a second balance when it moves into storage. Layers retain cost lineage and remaining value, while positions answer where stock currently sits. A blocked position or held lot remains owned without being offered as available stock.

What to agree during setup

Define warehouses, bins, staging locations and permitted entities. Confirm which products require lot control and the base unit used for quantity. Agree who can release stock, who records actual movements and who reviews a count variance. Set tolerances in the entity’s operational policy before counts become routine.

Plan how source events from handheld or other systems enter the app. A repeated event should resolve to the same economic action. An uncertain connected response needs reconciliation against its source before anyone retries a stock move. Keep the underlying event and correction chain accessible to finance.

Check the handoff on an actual case

Receive a lot-controlled stocked product, accept only the inspected quantity and place it in a storage location. Reserve part of that lot for a dealer order. Compare on-hand, reserved and available quantities. Pick a portion and verify the remaining reservation and available stock; picking alone must not recognize the sale’s cost.

Move some remaining stock to another warehouse within the same entity. Record dispatch, transit and a partial destination receipt. The in-transit remainder should still be owned and valued. Next, run a count on the destination location. The counter records an observed shortage; Warehouse Manager and Finance Manager review the variance before one adjustment posts. The original receipt and transfer history stay intact.

What your team sees

  • Warehouse availability — Current positions by product, lot, location and custody state.
  • My pick tasks — Assigned work with the planned window and actual pick status.
  • Count review queue — Count plans with differences waiting for independent disposition.

What it keeps track of

Data model
Products
Trade goods and assembly outputs; master values do not rewrite transactions.
Product units
Versioned product-specific buy/sell packs and base conversions.
Warehouses
Physical sites may host segregated entity-owned positions; legal owner stays on each position.
Locations
Shallow warehouse bins, staging and transit custody locations.
Inventory positions
Current owned stock by complete identity and custody state; provenance is not a second balance.
Stock layers
Remaining quantity/carrying value with receipt/output/return lineage.
Stock events
One immutable group of stock movements and the associated journal effect.
Stock movements
Signed position/layer legs; transfers balance quantity and value by SKU.
Reservations
Stock reserved against a sales order or work order need date, hard to a lot or soft to a quantity.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Count plans
A cycle count or a full physical inventory: the warehouse, the ABC class it picks, when it runs and who approves the variances.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
Count locks
Time-bounded counted scope protecting all identities, including newly appearing positions.
