What you can do
Start from the operating record
A stock position identifies legal owner, product, warehouse, location, lot where used and custody state. Available quantity is distinct from quantity already allocated. A distributor can keep stocked items in separate warehouses and see whether a requested quantity is available before promising dispatch.
How the work is organized
- Identify stock. Warehouse Manager checks entity, product, warehouse, location, lot and custody before making quantity available.
- Claim demand. Reservations allocate bounded stock to an order, work material or transfer without double use.
- Prove movement. Warehouse Operator records dispatch and receipt; Warehouse Manager resolves transit differences and count variances.
What to agree during setup
Agree which entity owns each warehouse position and which locations can hold saleable, held or in-transit goods. Reconcile opening quantity and carrying value before taking reservations. Decide who may release a transfer or stock adjustment and what evidence is required for a shortage.
Start with a single stocked product at two locations. The Warehouse Manager should be able to compare available quantity with open reservations. For a count, choose a locked scope and an independent review path so the observed number cannot simply copy the expected number.
Check the handoff on an actual case
A reservation claims a bounded quantity for an order, work material or transfer. Picking and transit preserve their own custody state. A transfer must account for dispatch and the exact remainder received; moving stock between sites does not change which entity owns it.
For a count, the Warehouse Manager defines and locks the scope. The operator records observed quantity without using the expected number as the count. Review considers variance and value before the authorized adjustment posts. The original stock event remains in history.
Rehearse a transfer that dispatches less than requested and receives less than dispatched. The Warehouse Operator records each actual quantity while the remainder stays in transit for review. Then count the destination location and confirm that a variance needs review before an adjustment changes stock.
What your team sees
- Available Stock — Warehouse Operator checks usable quantity by product and location.
- Transfers Awaiting Approval — Warehouse Manager reviews requested movement before release.

What it keeps track of
Data model- Inventory
- Current owned stock by complete identity and custody state; provenance is not a second balance.
- Stock events
- One immutable group of stock movements and the associated journal effect.
- Stock movements
- Signed position/layer legs; transfers balance quantity and value by SKU.
- Stock layers
- Remaining quantity/carrying value with receipt/output/return lineage.
- Reservations
- Exclusive bounded demand claims through picking and owned transit.
- Stock transfers
- Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
- Stock transfer lines
- Partial transfer quantities retain equal in-transit ownership and cost.
- Count plans
- Blind scoped counts with explicit review and cost before adjustment.
- Count lines
- Observed base quantity and signed variance against an unchanged locked population.
- Warehouses
- Physical sites may host segregated entity-owned positions; legal owner stays on each position.
- Locations
- Shallow warehouse bins, staging and transit custody locations.
Who uses it
Permissions- Warehouse Manager
- Controls reservations, transfers and counts.
- Warehouse Operator
- Records physical movement and observed quantities.
- Accountant
- Reviews resulting value where required.
