What you can do

Start from the operating record

The representative starts with an active dealer and ordering contact. A quote records the product unit, agreed quantity, list price, discount and tax treatment. For a distributor selling stocked metal products, that could be a dealer requesting a stated quantity of a named stocked item for a promised delivery date. The accepted order keeps the original promise even if a revised date is later agreed.

How the work is organized

  • Price the offer. Sales Representative checks an active dealer, ordering contact, product unit, price list and tax basis before sending a quote.
  • Accept the commitment. Sales Manager reviews the current order revision and dealer exposure; Finance Manager decides a credit exception.
  • Preserve the promise. Each order line retains its original delivery date and approved value as partial shipments consume the remaining scope.

What to agree during setup

Agree which dealer contact may place an order, which product units can be sold and which price list applies to the entity and currency. Define the evidence for a changed price or date. Sales Manager needs the current quote, accepted value and credit review before deciding; Finance Manager needs a separate limit for exceptions.

Start with a dealer whose terms and billing address are known. Reconcile the opening order position before taking new demand. Identify the warehouse that can fulfill the line and the Sales Representative who owns the follow-up when the supplier or delivery date changes.

Check the handoff on an actual case

An order approval is a separate decision on the current revision. The Sales Manager checks accepted net value, terms and the dealer credit review. Finance Manager decides a credit exception within its own authority. Reserving stock follows acceptance, so a draft demand does not consume saleable quantity.

The sales team can compare the original promise with the remaining open quantity after each partial shipment. Invoicing takes its value from accepted line allocations and actual title transfer, so a second partial shipment does not bill the first portion again.

Rehearse a dealer order for a stocked item, then split its delivery. The Sales Representative should still see the original promise and unshipped quantity. Sales Manager checks that the second shipment consumes only the remaining accepted scope; Accountant can trace the eventual invoice to title-transferred quantity.

What your team sees

  • My Quotes Due — Sales Representative finds owned offers and their validity dates.
  • Sales Orders Awaiting Approval — Sales Manager finds submitted commitments needing a decision.
