What you can do

Separate available stock from custody

Warehouse Manager maintains warehouse and location scope. An inventory position identifies the item, legal entity, warehouse, location, lot and custody state. Quantity on hand, reserved quantity and available quantity have different meanings. A held lot or goods in transit cannot satisfy a new pick simply because the physical quantity still exists. Reservations make competing demand claims explicit.

How the work is organized

  • Source. Warehouse Manager should define which entity owns each warehouse position and which locations can be picked.
  • Decision. Warehouse Operator records each departure and arrival as its own stock event.
  • Evidence. For a count variance, retain the locked population, observed quantity and independent decision.

What to agree during setup

A transfer begins with an approved source and destination. Dispatch moves stock into transit while preserving ownership; receipt resolves the exact remainder. Inventory counts lock the selected scope, record an independent observation and require review before adjustment. The counted population includes newly appearing positions inside the lock, so a late receipt cannot quietly escape the count.

Warehouse Manager should define which entity owns each warehouse position and which locations can be picked. Warehouse Operator records each departure and arrival as its own stock event. A transfer in transit remains distinct from stock available at either end.

Check the handoff on an actual case

A dealer order needs stock from another warehouse. Check the source lot and available quantity, approve the transfer, then dispatch the chosen amount. The destination receives the actual amount; any loss remains a separate resolution. Recheck the order reservation after receipt. During the next count, compare the observed quantity with the locked expected amount and review the value before posting an adjustment.

For a count variance, retain the locked population, observed quantity and independent decision. Check late positions inside the lock before posting the adjustment. The corrected quantity should reconcile to the stock event and its source count line.

Before promising a transfer to a dealer, compare source availability with existing reservations and the lot on the transfer line. Warehouse Operator posts the actual departure, and the destination records what arrived. A partial receipt leaves transit quantity visible until it is received or loss is resolved. The count team should then compare the physical observation with the locked position before Warehouse Manager authorizes an adjustment.

What your team sees

  • Warehouse Availability — Available positions by item, location and lot.
  • Count Review Queue — Counts waiting for independent variance review.

What it keeps track of

Data model
Service items
Trade goods and assembly outputs; master values do not rewrite transactions.
Service item units
Versioned product-specific buy/sell packs and base conversions.
Service sites
Physical sites may host segregated entity-owned positions; legal owner stays on each position.
Locations
Shallow warehouse bins, staging and transit custody locations.
Inventory positions
Current owned stock by complete identity and custody state; provenance is not a second balance.
Inventory reservations
Exclusive bounded demand claims through picking and owned transit.
Stock transfers
Same-entity transfer with actual dispatch/partial receipt and retained owned transit.
Stock transfer lines
Partial transfer quantities retain equal in-transit ownership and cost.
Inventory counts
Blind scoped counts with explicit review and cost before adjustment.
Count lines
Observed base quantity and signed variance against an unchanged locked population.
Count locks
Time-bounded counted scope protecting all identities, including newly appearing positions.
Stock events
One immutable group of stock movements and the associated journal effect.

Who uses it
