What you can do
Follow bought material from request to receipt
Buyer turns an approved material requirement into a purchasing commitment. Approver decides the assigned purchase independently of the person preparing it. When the material arrives, Operator records the receipt against the purchasing scope and Quality Inspector checks material that requires incoming inspection. Accountant then compares the supplier invoice with the order and receipt. Each handoff keeps the team clear about what was requested, what arrived and what can be paid.
How the work is organized
- Purchase preparation. Record the requested product, positive quantity, need date and estimated value. Confirm the vendor contact and destination warehouse before converting an approved requisition into its purchase order.
- Independent decision. Keep submitted purchases visible to Approver with the related decision record. The requester and decision maker must remain distinct when the purchasing rule requires independent approval.
- Receipt and match. Record incoming material against the eligible purchase scope. Follow required inspection before acceptance, then compare the invoice with received quantity at the purchase-order unit cost.
What to agree during setup
Review approved suppliers and the contact used on each purchase order. Confirm agreed item prices, purchase units, minimum quantities and lead times with Buyer. Select the raw-material warehouse that receives the pilot order, and identify the active employees responsible for buying and approval.
Quality Inspector should review the incoming inspection plan for the pilot material. Agree how the receiving team hands over a receipt waiting for quality review. Accountant and Buyer should also agree who investigates a price or quantity difference and what evidence is needed before a disputed invoice can proceed.
Check the handoff on an actual case
Use a yarn purchase for a shortage in the current production plan. Buyer checks the approved requisition’s quantity, estimated value and need date. Approver reviews the assigned purchasing decision. Convert the approved requirement and retain the link to its purchase order. Repeat the conversion request and confirm that the same purchase order remains the commitment for that requirement.
When the yarn arrives, Operator records the receipt against the outstanding purchase quantity. If incoming inspection applies, leave the material waiting for Quality Inspector’s review. Check the inspection outcome before accepting the receipt and making its stock effect part of the production discussion.
Now enter a supplier invoice whose value differs from the received quantity at the agreed unit cost. Accountant inspects the match exception and asks Buyer to explain the difference. Resolve the evidence before approval proceeds. Rehearse a missing receipt as well, so the team can distinguish material still in transit from an invoice that arrived early.
Finish by comparing the order’s received quantity with the receipt and the invoice scope. A buying team should be able to explain the remaining commitment without treating every approved purchase as material already available to the mill.
