What you can do
A pay period with a trail
A payroll calendar defines the frequency, legal entity, country, currency and cutoff for a group. A run picks a calendar and records its period start, period end, pay date and run type. Payroll Admin can prepare a regular, off-cycle, retro, correction or bonus run. The run status gives the team a clear review point before it is posted or marked paid.
Each pay statement belongs to an employee and a run. It records the period, currency, payment method, gross, deductions and net amount. Statement lines identify earning, pre-tax, post-tax, tax or employer amounts, including quantity, rate, code, amount and jurisdiction where applicable. That structure lets the reviewer move from a run total to the employee statement and then the individual line that explains a difference.
How the work is organized
- Calendar. Payroll calendars separate schedules by entity, country, currency and frequency.
- Run. Payroll runs hold dates, type, approval status and aggregate gross and net totals.
- Detail. Statements and lines show the employee’s pay and the components making up gross and deductions.
What to agree during setup
Confirm every employee’s payroll calendar, salary, currency and location before opening the first period. Decide which time and benefit records Payroll Admin will use and when their review closes. Set the tax jurisdictions for the locations and agree where rates or calculations are maintained. Check statement line codes and general ledger account references against the organization’s payroll and accounting conventions.
Payroll Admin maintains runs, statements and tax records and reads employee, leave, time and benefit inputs. Assign a run reviewer other than the preparer and rehearse the decision with that account. Decide the correction path for a run that has already been posted, and rehearse it before a live pay date.
Check the handoff on an actual case
Prepare a run for one calendar with a known employee, a regular time entry and an overtime entry on an approved timesheet. Compare the statement’s earning lines with the worker’s salary and approved hours. Check deductions and tax lines against the intended jurisdiction. The reviewer compares the gross and net totals to the statement set, then records the decision before posting. For an employee who moved location, verify that the calendar and jurisdiction used for the period match the effective employee record.
Once the pay result has been confirmed by the payment system, Payroll Admin records the paid state. A tax filing links back to the run and jurisdiction, with its own due date, amount, filed date and confirmation reference. These references help the team reconcile the period without treating an internal status as external payment evidence.
