What you can do

Review the people and equipment behind the plan

An approved load still needs an assignment that the team can explain. The Dispatcher selects the driver and vehicle and records the intended start and end dates. The assignment keeps its own status and revision, with an availability check that captures the basis for using those resources during that period.

Driver records carry license class, license expiry and an eligibility date, together with the external authority used for the check. Vehicle records carry equipment class, capacity and readiness. These details support the assignment discussion, while the operating team remains responsible for agreeing which source evidence is required before the assignment can proceed.

How the work is organized

  • Check the driver. Inspect active status, availability and the recorded eligibility dates. Identify the external authority behind the eligibility information and resolve any question before relying on the driver for the load.
  • Check the vehicle. Compare the equipment class and capacity with the load requirement. Inspect Ready, Held or Maintenance readiness alongside the vehicle’s operating status and current defect context.
  • Record the period. Prepare the assignment with its start and end dates and retain the availability-check explanation. Move eligible Proposed work to Assigned, then follow it as Active during authorized dispatch.

What to agree during setup

Agree which eligibility sources dispatch uses and who maintains them. The license expiry date and the eligibility-until date answer related but distinct questions. A driver marked Available should still be checked against the evidence required by your operation and the intended assignment period.

Define how the team checks competing assignments and how a changed departure affects the reserved period. Confirm the units used for the load requirement before comparing it with the vehicle’s capacity in pounds. Also agree how a vehicle placed on hold is communicated to dispatch and who can authorize its return to service.

Check the handoff on an actual case

Use an approved depot delivery load and prepare an assignment for an electric van. The Dispatcher checks the equipment class and capacity, then inspects the driver’s recorded eligibility and the vehicle’s readiness. Record the availability explanation so another dispatcher can understand why those resources were selected.

Now place the vehicle on hold because a defect needs review. Rehearse the response before the departure decision: the team should investigate the hold and select an eligible replacement or obtain the required release evidence. Then change the assignment period and check competing work again. Charging completion cannot by itself resolve a vehicle hold or establish that a driver remains eligible for the new period.

What your team sees

  • Assignment Schedule — Proposed, Assigned and Active resource commitments with their start and end dates.
  • Driver Eligibility Review — Driver records whose eligibility date has arrived and needs source verification.
  • Fleet Readiness Board — Vehicle readiness and operating status beside the equipment class and capacity.

Follow the work through

Use load planning and assignment and charging and fleet readiness before following the load into dispatch.
