Prepare the next action with Proto

Prepare event, exhibitor and admission work for the responsible people to review.

It can

  • Event Owner: Show events awaiting review with their venue, start and current revision.
  • Booth Coordinator: List submitted assignments by parent event and exhibitor organization.
  • Admissions Coordinator: Compare reserved admission lines with those already admitted for an open event.
  • Finance Reviewer: Find operation receipts needing investigation and show linked provider references.

Stays with a person

  • Event Reviewer makes the independent event or booth decision.
  • Finance Reviewer verifies provider evidence, and Event Owner decides when the event is ready to open or close.
  • Keep the current revision, parent event and actor scope in every guarded action.
  • Check the authoritative provider result before calling a capture or refund complete.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the event boundary

Choose the operating organization, venue, event owner, reviewer and admission capacity. Decide who verifies provider captures and who handles uncertain actions.

  2. Map the source records

Prepare organization and venue codes, team membership, event numbers, exhibitor organizations and provider references. Preserve parent links and current revisions.

  3. Configure a bounded pilot

Build one upcoming event, its booth assignments and admission lines. Use the Events calendar and selected-record detail to rehearse parent selection.

  4. Rehearse the exceptions

Try a stale revision, wrong organization, repeated admission scan, duplicate provider event and a paid booth without verified capture. Record the expected rejection or review result.

  5. Review and release

Have separate people prepare and decide the event and booth work. Compare admissions, booth allocation, provider captures and unresolved operation receipts before opening the live event.

FAQ

Scope, rollout and pricing for Exhibition / Trade Show.

All questions
How do I get started?

Click Get started, then use Proto to configure Exhibition / Trade Show for your business. Pilot one upcoming event with a venue, exhibitor booth, admission line and independent reviewer decision.

Can we see our events on a calendar?

Yes. The Events page shows a calendar, capacity strip and admission-hour bars. Select an event to inspect its record detail beneath the visualization.

How do exhibitors relate to events?

Each booth assignment links an exhibitor organization and booth to a parent event. The coordinator submits the assignment for review before completion.

Who decides whether a booth is approved?

Event Reviewer records an independent decision and reason against the submitted revision. The assignment can then continue through the capacity and payment checks.

How is visitor entry recorded?

An admission line keeps the reservation under the event and records admitted time on entry. A repeated scan should preserve the original entry result.

How do we track payment?

Payment evidence holds provider events, types, amounts, references and verification. The payment provider remains the authoritative source for completed money movement.

Can we change an event after admissions begin?

Review the current event revision and related admissions, decisions, receipts and payment evidence. Executed scope needs an approved compensating action so entry history is retained.

What if a provider action times out?

Inspect the operation receipt, local linked effects and authoritative external reference. Record a discrepancy for review rather than repeating the external action before its result is known.

Can we run several shows for different operators?

Organization records identify operators and exhibitors. Each event retains its own organization, owner, venue and related records. Agree staff scope before opening access.
