What you can do

Keep the entry history with the event

An admission line belongs to one event. It records a line number, revision, attendee reference, quantity, price, reservation time, admitted time and provider receipt. The parent link matters at every step: it prevents a visitor or reserved quantity for one show from being interpreted as available at another. Admissions Coordinator starts with an open event and uses the related lines to account for reservation and entry.

The event’s capacity is the control for admission planning. A reservation must respect that limit and its source revision. Entry is a separate fact from reservation. Recording admitted time once preserves the history of a real check-in; repeated scans should return the existing outcome rather than add another entry. A provider receipt helps connect the line to payment evidence, while a verified provider capture is the condition for reporting a completed paid reservation.

How the work is organized

  • Reserve against the parent. Admissions Coordinator selects the open event and records the attendee reference and quantity under it.
  • Record entry. At the admission point, the coordinator checks the line and records admitted time for the actual scan.
  • Reconcile the result. Finance Reviewer compares admitted quantities with verified provider captures when the event closes.

What to agree during setup

Agree whether a line represents one visitor or a party, and how the quantity is counted at the door. Define how attendee references enter the app and who may see them. Confirm the admission cut-off and venue time zone before a busy opening. Decide which provider event and capture reference is authoritative for paid admission, and how a failed or delayed capture is handled. Give front-desk staff a clear path to report a line with a receipt but no verified capture.

Check the handoff on an actual case

An attendee reserves admission for an open show. Admissions Coordinator selects the event, enters the attendee reference and quantity, and checks remaining capacity before accepting the reservation. Payment evidence records the provider’s capture, reference and verification. At the door, the coordinator finds the line, confirms it belongs to the selected event and records entry time. A second scan of the same line should show the earlier admission rather than add another admitted count. On closure, Finance Reviewer compares the admitted quantities and verified capture evidence. Any disagreement stays visible for review instead of turning a local receipt into proof of settled payment.

What your team sees

  • Admission ledger — Reservation and admitted timestamps beside the attendee reference and provider receipt.
  • Open events for admission — Events ready for entry work, with capacity and operating window.
  • Receipts needing investigation — Guarded actions whose effects need further review.
