What you can do
Keep the booth tied to its event
A booth assignment identifies the booth, exhibitor organization and parent event. Its area and assigned date help the team understand what space was committed. Its check-in date records arrival. Because the assignment sits beneath the event, the Booth Coordinator can review the event window and the exhibitor record before submitting a booth for decision. The organization on the assignment is the exhibitor relationship; the event’s organization identifies the operator. Confirm those two parties deliberately.
A draft can be corrected before submission. Submitted work carries a revision for review. The reviewer records a decision against the same parent and revision; a changed assignment needs fresh scrutiny. Completion follows approval, capacity checks and verified payment effects. An approval decision alone does not establish that a booth was assigned or paid. The coordinator should be able to explain why a completed assignment belongs to its event and which evidence supports it.
How the work is organized
- Prepare the assignment. Booth Coordinator selects the parent event and exhibitor organization, then records the booth and area.
- Submit for decision. The coordinator checks space and evidence and sends the current assignment revision to Event Reviewer.
- Complete and check in. After the decision, capacity and payment checks, the coordinator records assignment and later the exhibitor’s arrival.
What to agree during setup
Agree how booth codes are issued at each venue and how area is measured. The assignment has an area value, while the event has an admission capacity; these represent different limits. Define where the authoritative floor plan and usable booth inventory live, and how the coordinator checks a proposed space against them. Agree which payment provider reference proves a paid booth, and how a verified capture will be linked to the parent event. Reviewers need a rule for handling a booth change after submission and for keeping their decision independent of the preparer.
Check the handoff on an actual case
An exhibitor requests space for a forthcoming show. Booth Coordinator selects the event, links the exhibitor organization, enters the booth and area, and submits the draft. Event Reviewer compares the submitted revision with event evidence and records approval or rejection with a reason. On approval, the coordinator checks the persisted space allocation and verified provider capture before completing the assignment. At the venue, check-in is recorded on that assignment. If the exhibitor changes booths before arrival, the coordinator returns to the draft and review path for the changed scope, preserving the prior decision rather than treating it as approval of the new booth.
