What you can do

Give each request a clear asset

A maintenance request starts with the equipment it affects. The order records whether the work is Preventive, Corrective or Inspection, alongside a description and request date. Maintenance Manager can inspect the asset’s location and current state before deciding how urgently to plan the job. The order’s state board makes the movement from Requested through Scheduled and Review visible without collapsing these steps into a single “done” label.

How the work is organized

  • Request. Maintenance Manager identifies the asset and describes the work in a Requested order.
  • Assignment. Maintenance Planner confirms a valid approved permit, names a team member and sets a due date before scheduling.
  • Close review. Technician records the work; Maintenance Manager accepts the result and connects the closed order to service history.

What to agree during setup

Agree how managers distinguish a corrective fault from an inspection and who can set the due date. The planner needs an active team member record for the assignee and a permit whose approved interval covers the planning day. A requested order needs an initial assignee because that reference is required. Decide who selects that person at request time; the planner can confirm or change the assignment before scheduling.

Set a practical review routine for orders in Review. The person accepting the result should read the technician’s account of work performed, not infer completion from a changed status. The close action produces a service history record and returns an asset flagged for maintenance to service. A manager should check the resulting asset state before treating it as available for normal use.

Check the handoff on an actual case

Consider an air handler reported with a bearing noise. Maintenance Manager opens a Corrective request for that asset with an initial team member assigned. Permit Issuer records an Approved permit with a valid interval. Maintenance Planner checks that permit, assigns a technician and sets a due date. Technician starts the work, describes the bearing inspection and repair, and sends the order for review. Maintenance Manager accepts the work, then checks the closed order against the new service history entry. If the result needs more attention, the manager should resolve it before accepting closeout.

This case gives the team a real path to rehearse: the request, authorization, execution and acceptance all refer to the same asset and order. A view of open work supports the daily queue; the full register preserves closed and cancelled history for later inspection.

What your team sees

  • Work Order Register — The full job register shows the asset, assignee, due date and current state.
  • Open Work Orders — The daily queue isolates orders still awaiting work or review.

Follow the work through

Follow the first handoff and the next decision. Rehearse the sequence with a representative asset before opening it to the full team.
