What you can do
Give the supervisor a traceable decision
A submitted training session needs a decision from someone other than its preparer. The decision record identifies the parent booking, reviewer, source revision, outcome, reason and date. Approve, Reject and Return remain distinct decisions. A returned record gives the trainer a clear correction path; a rejection records why the submitted work was not accepted. The booking link keeps the decision beside the appointment that led to the training.
Supporting attachments can be linked to that same booking. They carry a title, evidence type, upload time, uploader and visibility choice. Shared and Internal are deliberate labels for the people handling the record. When a supervisor compares the attended session with the booking and file, the source revision shows which version was reviewed.
How the work is organized
- Trainer submits the record. The session is prepared with attendance details and relevant files.
- Supervisor decides. A separate reviewer records Approve, Reject or Return and gives a reason.
- Evidence remains attached. Files and the decision point to the booking that prompted the review.
What to agree during setup
Name the supervisors who can review each organization’s work and define a substitute for absences. Decide which evidence types should be attached for routine attendance and for an exception. Set a standard for useful decision reasons: enough context that a trainer can correct a returned session without a private conversation. Decide who can see Internal attachments and when a file should be marked Shared.
Rehearse a clean approval, a returned session with a corrected duration and an attempt by the preparing trainer to approve their own work. Reviewers should use the current session revision. If the source changes while review is underway, the supervisor should reread the updated record before recording a new decision.
Check the handoff on an actual case
A trainer submits Tuesday’s attended session with its duration and workout revision. A supervisor opens the parent booking, confirms the accepted interval and reads the attachment uploaded after training. The supervisor approves the session and records the reason. The decision date and reviewer remain visible when the coordinator later checks completion.
In a second case, the uploaded note names a different start time. The supervisor returns the session and explains the discrepancy. The trainer edits the attended record and submits the new revision. The original decision remains associated with the booking, so the team can distinguish the first submission from the corrected one.

- Record Attachments List — Files and their visibility alongside booking context.
- Training Session Status Board — Submitted sessions waiting for review and decided outcomes.
Follow the work through
Session review follows a submitted session through the decision. Completion evidence connects the decision to booking completion.
