What you can do
Follow money back to the visit
A payment record links a member and a booking. It carries an amount, receipt time and a status of pending, confirmed or refunded. The Finance Clerk uses that link to investigate which reservation a receipt belongs to. A confirmed booking and a confirmed receipt answer different questions: one reserves a place, while the other records a payment outcome. Keep those decisions separate when speaking to a member or reading a report.
The Business Overview page brings booking status, recent booking evidence and tanks needing attention into a single studio decision view. The manager can open an item from the attention queue, see its source record and route the work to the person responsible. Use the underlying booking, tank and check records for the decision trail; the overview is the place to notice the issue.
How the work is organized
- Receipt. Payments ties an amount and status to a specific booking and member.
- Reservation. Bookings explains which service session the member requested or attended.
- Attention. Business Overview surfaces booking and tank items that need an operating decision.
What to agree during setup
Agree when a pending payment may be marked confirmed and who records a refund. Keep the member and booking reference on each payment so the Finance Clerk can reconcile its current outcome. If a payment provider is used, decide what provider confirmation and identifier staff will use before updating the local receipt. The provider is a connection to configure for the studio’s chosen method of collection.
The manager should agree the daily review order: booking requests, sessions near capacity, tanks needing action and receipts still pending. The overview helps triage, while the filtered payment register helps reconcile. Decide how a member hears about a booking cancellation and refund under the studio’s policy.
Check the handoff on an actual case
A member’s priced service booking is confirmed. The payment record is pending, linked to that member and booking. The Finance Clerk checks the receipt evidence and marks it confirmed when money is acknowledged. The Confirmed Receipt Register then shows the amount and booking reference for reconciliation. If the booking is later cancelled and a refund is issued, the Finance Clerk checks the original receipt evidence and records the refunded outcome against the linked payment.
On the same day, the overview highlights a tank that is not ready for a scheduled session. The Studio Manager opens the tank and check evidence, asks the Tank Technician and Tank Reviewer to resolve it, then revisits the affected bookings. The finance question and the safety question have different owners, but both stay connected to the same operating day and the relevant booking records.
