What you can do

Prepare an allocation against a real request

Allocation Coordinator records an assistance allocation under an organization and parent stock request. The allocation has its own reference, program, required date, household count, allocated pounds, status and revision. The parent request supplies the bounded stock scope. This link helps a reviewer check whether the food proposed for assistance corresponds to an approved request and eligible stock.

A draft allocation can be revised before submission. Once submitted, its revision matters to the decision. Independent Reviewer should inspect the current parent request, attached evidence, decision history, reservation and posted movement references. The reviewer approves or rejects the submitted allocation. The allocation records its status and decision date; the separate Review Decisions register records decisions on the parent stock request.

How the work is organized

  • Preparation. Allocation Coordinator enters the program and assistance quantities with the correct organization and parent request.
  • Review. Independent Reviewer checks the allocation revision, parent scope and stock evidence before deciding.
  • Completion. The team marks the allocation complete only after the release result and any external distribution confirmation are evidenced.

What to agree during setup

Define the organization and program conventions used for allocation reporting. Agree how household count and allocated pounds are recorded and checked against request quantities; those measures have different units and should not be treated as interchangeable. Determine what evidence the reviewer requires for a release decision and which person may record that decision independently of the preparer.

Set the rule for a revised allocation. A changed allocation needs a new review before approval; its earlier decision date should not authorize a new quantity. Agree what confirms distribution outside the app, how that acknowledgment is linked to the parent request, and who is allowed to mark the local allocation complete. The external result should be checked, not inferred from the local approval.

Check the handoff on an actual case

A program plans to serve households with rice from an approved stock request. Allocation Coordinator links a draft allocation to that request, enters the program, household count and allocated pounds, then submits it. Independent Reviewer opens Submitted Allocations and traces the parent request to its current revision, released lot, active reservation, posted movement and evidence attachment. The reviewer checks the parent request decision and records approval or rejection on the allocation.

If the parent quantity changed after its earlier approval, the allocation should stay submitted until the changed request receives a fresh review. If the stock receipt is pending, a submitted allocation should remain open until the evidence is reconciled. Approval marks the local allocation decision and date; completion records a separate confirmed result. Approved Allocations gives the team the reviewed commitments while the receipt and movement lists show their operational evidence.

What your team sees

  • Submitted Allocations — Assistance work waiting for an independent decision.
  • Approved Allocations — Reviewed allocations grouped for program follow-up.
  • Review Decision Register — Source revision, reviewer, decision and reason beside each parent request.

Follow the work through

Read allocation release for the decision sequence and receipt reconciliation for unresolved operation results.
