What you can do

Give every application an owner

The application record holds its number, applicant, requested date, amount, purpose and assigned person. A Case Analyst uses these details to determine what needs attention. Submitted applications should enter a clear review queue. Once the analyst begins work, the application can move into review while evidence and any alert are examined. The assigned person gives colleagues a named handoff when a case is waiting.

A Credit Reviewer makes the decision with a separate credit decision record. That record links the application to the reviewer, decision, reason codes, approved amount and decision time. A referral remains a decision outcome that calls for further work; it should not be silently treated as an approval. The application status and the decision record should tell the same story when someone opens the case later.

How the work is organized

  • Review queue. Submitted and in-review applications show the applicant, assignee and amount together.
  • Decision record. The reviewer records the outcome and reasons against the specific application.
  • Linked evidence. Assessment evidence and fraud alerts remain reachable from the case being decided.

What to agree during setup

Define when an application enters review and which person is eligible to receive an assignment. Agree which provider evidence the Case Analyst must inspect before the Credit Reviewer decides, and when an unresolved fraud alert sends the case back for investigation. Set a local rule for a referral and for a withdrawn application. The team should rehearse a declined case as carefully as an approved one, since both require an attributable decision and an understandable next action.

Use a single application number across imported history and new work. Review the mapping from people to authenticated users before relying on a personal queue. An assignee should be able to recognize their cases, and a reviewer should be able to distinguish their own decision from the analyst’s preparation.

Check the handoff on an actual case

Take a submitted application whose applicant has a verification reference. Assign it to a Case Analyst, open the linked evidence and examine any alert tied to the application. If the alert is still being investigated, let the Fraud Investigator finish the disposition before the Credit Reviewer signs. Then record an approve, decline or refer decision with the actual reviewer and reasons. Compare the decision record with the application status. A later repayment obligation should trace back only to the approved application it belongs to.

What your team sees

  • Applications Review Queue — Applications waiting for or undergoing case review.
  • Applications Review Board — Applications grouped by review state, with their assigned people visible.
