What you can do
Make the resource commitment visible
An assignment connects a load with a driver and vehicle over a committed start and end interval. The Dispatcher checks those dates before confirming the arrangement and again before dispatch. Read the assignment alongside the load’s stop windows so the resource commitment supports the movement the team has promised.
Driver records retain active state, eligibility expiry and an external authority reference. Vehicle records retain equipment class and readiness, with an external fleet identifier. Defect records add severity, repair evidence and release information for the relevant vehicle. Use those records together when deciding whether the proposed assignment is ready to proceed.
How the work is organized
- Driver check. The Dispatcher reads the driver’s active state and eligibility date for the intended movement period. Use the external authority reference when the supporting evidence needs clarification.
- Vehicle check. Inspect the vehicle’s equipment class, active state and readiness. Read relevant defect evidence before treating the vehicle as ready for the assignment.
- Interval review. Compare the committed start and end against the driver’s and vehicle’s other assignments. Resolve a conflicting interval before confirming or dispatching the movement.
What to agree during setup
Agree how start and end values are entered and interpreted across the team’s time zones. Rehearse the precision needed to distinguish separate commitments, including adjacent intervals and work crossing a date boundary. Define who may change an assignment from Held to Confirmed and when the Dispatcher must repeat the eligibility check.
Establish which external source confirms driver authority and vehicle readiness. Decide who maintains the roster and how repair evidence is reviewed before a vehicle is released for use. Keep the vehicle capacity information available to the operational discussion, and obtain the load requirements needed for a responsible equipment decision through the team’s preparation procedure. Record the outcome of disputed readiness checks before dispatch continues.
Check the handoff on an actual case
For the cross-dock load, select an active driver and a vehicle with the intended equipment class. The Dispatcher checks the driver’s eligibility date against the planned interval, reads the vehicle readiness and reviews any relevant defect record. Prepare the start and end commitment with the pickup and delivery windows in view.
Add another assignment for the same driver that overlaps the proposed interval. The Dispatcher should identify the conflict and arrange a workable change before confirming the load. Repeat the rehearsal with the vehicle marked Maintenance and identify the evidence needed before it can be considered for dispatch again. The Transport Supervisor can then inspect the assignment and understand which checks support the decision to proceed.
