What you can do
Know which asset the purchase belongs to
Vehicle identity gives a fuel purchase its operating context. The App Administrator maintains the unit number, name, plate and asset type, with the organization and active state. A consistent identity helps the Transport Supervisor distinguish similar assets when examining a receipt or following a card reference across purchases.
The vehicle’s operating state can be Available, In Service, Maintenance or Out of Service. Read that state alongside the purchase date and relevant work. Use a discrepancy as a reason to inspect the evidence and speak to the responsible person before deciding how the fuel record should be treated.
How the work is organized
- Fleet identity. Keep the unit number and plate useful to the people entering and reviewing purchases. Retain the organization context when several operating companies use the same process or similar vehicle names.
- Operating state. The App Administrator maintains the vehicle’s recorded state. The supervisor checks it when reviewing a purchase and establishes the relevant operating circumstances before drawing a conclusion about the entry.
- Defect context. Open defect records identify the vehicle, severity and owner of an unresolved concern. The supervisor can use that context in the follow-up discussion and route the concern to the person responsible for it.
What to agree during setup
Agree how vehicles are named and who maintains their identity when equipment changes or moves between operating companies. Confirm the active setting before the pilot so a retired or inactive asset is distinguishable during record review. Check imported fuel records against the intended vehicle identities.
Set a procedure for keeping vehicle state current and for explaining the timing of a change. A current state is part of the review context; the team still needs to establish what happened at the time of a purchase. Decide who follows a defect concern and how the supervisor obtains the supporting information before recording a purchase decision.
Check the handoff on an actual case
The supervisor reviews a fuel purchase recorded against a van whose current state is Maintenance. The purchase date is earlier in the week, so the reviewer first checks the load assignment and asks the App Administrator when the operating state changed. The relevant evidence may explain why the vehicle was still in service when the purchase occurred.
If the purchase instead belongs to another van, the Dispatcher corrects the attribution under the review procedure and submits the entry for a new decision. During the rehearsal, use vehicles with similar names and different plates. Ask the reviewer to identify the correct asset from the purchase and receipt, then follow an open defect to its named owner without changing the defect as part of the fuel review.
What your team sees
- Fleet availability — Vehicle identity, organization and current operating state for the supervisor’s context check.
- Open Defects — Unresolved vehicle concerns with severity, owner and the record needed for follow-up.
Follow the work through
Use purchase attribution to operating work and revisit unresolved concerns during period review and follow-up.
