What you can do
Make the opening decision explicit
An Event Coordinator prepares the gala, but the opening decision belongs to an independent Event Reviewer. The event has a revision and lifecycle status. The review decision records the source revision, decision, time, reason, operation key and reviewer. That combination matters when dates, venue or capacity change while a gala is waiting for review: an older approval should not be mistaken for approval of the updated event.
The event approval action checks the organization, assigned coordinator, active eligible venue, readiness and expected revision. An accepted decision can open the event and leave an internal operation receipt. The receipt has its own result state, so the team can distinguish a completed guarded action from a failed or review-needed attempt.
How the work is organized
- Submission. The coordinator moves the prepared event into Review with the current revision.
- Decision. Event Reviewer inspects the event, venue, capacity and supporting evidence before recording the exact revision decision.
- Operation trail. Operation receipts show whether the guarded opening action completed or needs investigation.
What to agree during setup
Name the people who can prepare events and the separate people who can review them. Decide what an eligibility note must say for a venue to pass review. Agree what supporting attachments are required for your gala type and which should be internal or shared. A file title and evidence type help a reviewer find the right material without having to search unrelated event records.
Define the review response to a changed event. If the coordinator edits capacity after submission, the reviewer should examine the current revision. A Return decision can send work back for correction; a Reject decision records a refusal. Both need a useful reason. When an operation fails, the original operation key and failure reason help the team resolve the attempt without creating another untracked decision.
Check the handoff on an actual case
Create a gala with a venue, owner, dates and capacity, then submit it for review. Have the Event Reviewer open Events Awaiting Review and inspect the event and venue. Record a Return decision with a reason if the venue needs clarification. Correct the event and submit the updated revision. The reviewer then approves that revision. Confirm the opened event, review decision and completed operation receipt all point to the same gala.
Repeat the exercise with a stale revision or an inactive venue. The team should see an exception rather than a successful opening. Check Operation Exceptions for the failed or review-needed attempt and use its operation key during investigation. A status label on the event is useful only when the decision and receipt support it.
What your team sees
- Events Awaiting Review — Inspect the current revision before deciding whether the gala may open.
- Operation Exceptions — Find failed or review-needed actions with their reason and event context.
Follow the work through
See event approval for the decision sequence and event closeout for later review.
