What you can do
End the event with a traceable decision
Closing a gala is an Event Coordinator action tied to the current event revision. The coordinator checks admissions, pledge state and payment evidence before treating an open event as completed. A cancellation has a different question: is the admission scope unused, and has the required cancellation review been recorded? This prevents a simple status change from obscuring guests already admitted or obligations that still need attention.
Operation receipts retain the operation key, expected revision, result, time and failure reason. They help the team recognize a repeated request and investigate an interrupted action. A completed internal receipt describes the guarded operation. Provider payment execution is represented separately by payment evidence, including its type, amount, provider event identifier, reference and verification state.
How the work is organized
- Reconciliation. Compare attendance, pledge state and verified provider events for the gala.
- Review. Keep cancellation decisions and supporting attachments with the event revision being considered.
- Closeout. Complete or cancel eligible event scope and inspect the operation receipt for the actual outcome.
What to agree during setup
Event Coordinator and Finance Reviewer should agree which evidence must be checked before closeout. A verified provider event should have a usable reference and belong to the same gala. Distinguish authorization, capture, refund and void when reading payment evidence; they are different provider events. If a refund is being prepared after cancellation, leave its operation in review until provider execution is confirmed through the connected payment service.
Agree who may review cancellation and how the reason is recorded. Record attachments can hold event evidence with internal or shared visibility. The team should decide which audience needs a given file before it is uploaded. Keep the reviewer separate from the coordinator responsible for the operational action, especially when an event with admissions is being cancelled.
Check the handoff on an actual case
Take an open gala with several admission records. Some have an admitted date and others are only reserved. Add payment evidence for a captured amount and a separate authorization. Finance Reviewer checks which provider events are verified and whether the references identify the correct gala. Event Coordinator then compares that evidence with admissions and the pledge report before requesting closeout.
For a completed event, confirm the close date and completed operation receipt. For a cancellation rehearsal, use an event with unused admission scope and record the reviewer decision against the exact revision. Inspect the receipt after the action. If its result needs review, investigate the original operation key. Do not count a refund preparation as a provider refund until the connected service supplies verified evidence.
What your team sees
