What you can do
Operations overview in daily work
Trace guarded work outcomes and reconcile exceptions with package evidence. The team uses operation key, action, expected revision, result state, and failure reason to keep that context together. Use a pilot package to check the record links and each role’s handoff.
How the work is organized
- Action identity. A receipt holds the operation key, action, expected revision, and parent package for a guarded request.
- Outcome. Pending, completed, failed, and review-needed states distinguish observed effects from uncertain ones.
- Reconciliation. Operations Reviewer compares the receipt with linked package effects before recording a verified result.
Operations Overview brings task hours, reviews, evidence, and exceptions into one coordinator view. Operation Exceptions focuses attention on failed and review-needed receipts. The receipt is the place to check a repeated request; another click should not create a second package effect.
What to agree during setup
Agree who owns reconciliation and where the external reference or provider confirmation can be checked. An operation key must remain stable across retries of the same action. Decide what evidence establishes that an effect actually happened and who records an unresolved result as needs review. The reviewer should compare organization, scope, quantity, and revision before changing the receipt’s result.
Operations Reviewer compares the receipt with actual package effects. The coordinator provides the action context, while the reviewer keeps an unconfirmed result open for investigation.
Check the handoff on an actual case
Consider an acceptance request that returns no reliable provider result. The receipt remains pending with the package and expected revision. Operations Reviewer opens the exception, compares the recorded action and linked effects with the actual package, then checks the provider’s authoritative response. If the effect is confirmed, record the verified result on the same receipt. If confirmation is unavailable, route it for review instead of treating the package as accepted.
Repeat with a retry using the same operation key. It should resolve to the prior outcome, not create another effect. A changed package revision or different organization must be investigated before reconciliation closes the exception. Keep the failure reason and references visible for the next reviewer.
What your team sees
- Operations Overview — Monitor live task hours, reviews, evidence, and operational exceptions.
- Operation Exceptions — Find failed and review-needed outcomes with their action and parent package.
- Pending Operation Receipts — Inspect actions awaiting a verified result.
Follow the work through
Follow planning, execution, and delivery review for the handoffs that connect these records. The data model shows the exact references to migrate and verify. Set up a pilot through implementation before broadening the team.
What it keeps track of
Data model- Operation receipts
- Idempotent operation outcomes and reconciliation evidence.
- Work packages
- Operational work packages moving through planning, execution, review, and acceptance.
- Review decisions
- Independent reviewer decisions for work-package revisions.
- Tasks
- Scoped work-package task rows with estimates, dependencies, and completion evidence.
Who uses it
Permissions- Operations Reviewer
- Reconciles receipts.
- Project Coordinator
- Supplies the package context and Admin controls access to the action.
