What you can do
See the guest's outlet plans beside the stay
A restaurant or spa booking records its outlet type, outlet name, start time and guest count. It belongs to a reservation, so desk staff can find it when the guest asks about plans during the visit. The booking record gives the outlet a concrete time and party size to prepare for. It also gives the Property Manager a way to follow guest activity across the property without treating a booking as a payment or charge.
The Front Desk Agent captures the booking for the selected stay. The linked reservation supplies the party and unit context. A booking can be reviewed with the guest before arrival or during the stay, while its own start time determines when the outlet expects the party.
How the work is organized
- Stay link. Select the reservation that owns the restaurant or spa booking.
- Outlet detail. Record the outlet type, name, start time and guest count.
- Handoff. Check the booking with the guest and the outlet before service begins.
What to agree during setup
Decide which outlet names desk staff should use and who confirms availability with each outlet. Make the start time convention clear, especially for bookings near a shift change. The guest count may differ from the reservation party size; staff should check that difference rather than assuming the entire party is attending. Agree how a changed or cancelled outlet arrangement is handled before guests rely on it. Keep the linked stay accurate when a party has more than one reservation.
Check the handoff on an actual case
A checked-in guest requests a restaurant table for four and a spa treatment for one person the next day. The Front Desk Agent records two bookings under the same stay, each with the appropriate outlet type, outlet name, start time and guest count. The desk can then answer the guest’s question about both bookings from the stay record. A Finance Officer can later see any related outlet charge through the reservation without mistaking the booking itself for a posted charge.
Rehearse a request for an outlet time that the team cannot honor. The desk should resolve it with the outlet before presenting the booking as final. Rehearse a booking accidentally attached to a different reservation as well, since that error makes the record difficult to find during service.
