What you can do
Put a real unit behind each reservation
The bookable resource may be a room, suite, venue, table or treatment room. Its name, type and capacity give the team the context to choose it for a stay. Its current status tells the Front Desk Agent whether it is Available, Occupied, Cleaning or under Maintenance. A reservation refers to one resource, so an operational change to that resource is visible beside the stay that caused it.
The dated rate plan gives the Property Manager a nightly amount and a minimum stay rule for a unit type. The reservation retains the nightly rate selected for the party. Agree when staff should revisit a quoted rate rather than silently changing the rate on an already confirmed stay.
How the work is organized
- Inventory. Maintain the name, type, capacity and current state of each bookable resource.
- Rates. Maintain dated plans by unit type, including nightly rate and minimum nights.
- Availability. Check the resource state and reservation intervals before confirming a request.
What to agree during setup
Decide which resource types will be offered in the first operating cycle. Give each unit a clear name that staff can recognize at check-in, and set capacity as an operational limit. Establish who can move a resource into Maintenance and who confirms that cleaning is complete. When a unit moves from Occupied to Cleaning at checkout, the inspection result should determine when it can return to Available.
Set rate plan dates so staff can identify the relevant plan for a requested arrival. Decide how a minimum stay exception is reviewed and how an agreed nightly rate is captured on the reservation. Exchange rates are available as effective read-only records; any source that maintains them needs an explicit connection and owner.
Check the handoff on an actual case
Suppose a family requests a unit for three nights. The Property Manager checks the family size against the unit capacity and reads the dated plan for that unit type. The Front Desk Agent confirms only after checking the requested interval against other stays. On arrival, the unit becomes Occupied. At departure, it becomes Cleaning while staff complete the work. If maintenance is needed, the team can keep the unit out of the Available list until the responsible manager makes the next status decision.
The team should rehearse a second request for the same interval, an oversized party and a unit already in Maintenance. Each case needs a visible reason to select a different resource or change the request before confirmation.
What your team sees
- Available units — Resources currently marked ready for allocation.
- Units to clean — Resources awaiting the return-to-service check.
- Rate calendar — Dated plans with unit type, nightly amount and minimum nights.
Follow the work through
