What you can do
Give each task an owner and a place
A service task ties the work to a reservation, a unit and an assigned team member. The team can distinguish cleaning, maintenance and guest service work by event type. A due date gives the assignee a target; a completion date records when the work finished. The status moves from Open through Assigned and in progress to Completed as the work advances.
This connection matters during arrival and departure. Check-in may create open work for the stay. Checkout moves the unit to Cleaning and calls for an inspection before it becomes Available again. The Property Manager can see the unit and the reservation while following up with the assigned staff member.
How the work is organized
- Assignment. Link the task to the unit, reservation and responsible team member.
- Progress. Keep the task in its actual state so an open request is not mistaken for finished work.
- Completion. Record the completion date and review the unit before its availability changes.
What to agree during setup
Create team member records linked to user accounts. Keep the active flag current so an inactive person is not treated as an available assignee. Decide who creates a cleaning task at checkout, who receives maintenance work, and who checks the completed result. A Front Desk Agent can manage service tasks; the Property Manager should own unit availability decisions and staffing rules. Use the due date consistently so the open task list gives the right daily order.
Check the handoff on an actual case
A guest reports that a room needs a repair while checked in. The Front Desk Agent records a Maintenance task for the occupied unit and linked reservation, assigns an active team member and sets a due date. The Front Desk Agent updates the task to in progress and records completion after the assignee finishes the repair. The desk can see that the issue is closed without confusing task completion with checkout.
At departure, a separate Cleaning task can be assigned for the same unit and stay. The unit remains in Cleaning until the inspection passes. Rehearse an unassigned open task, a task sent to an inactive team member and an overdue task whose completion date is still blank. The owner should know what action each case needs before the next arrival.
