What you can do
Take a request through a checked-in stay and a completed booking
A guest asks for a room from Friday to Monday for two people. The front desk records the party, requested dates and room. Before confirmation, the agent checks that the room can take the party and that no confirmed booking holds any of those nights. The confirmed booking then gives the front desk a single place to find the guest, room, dates and rate.
How the work is organized
Keep the requested stay distinct from a confirmed reservation. Arrival and departure form the interval used for availability; the departure day is available to the next guest. On arrival, the same booking enters progress and the resource moves into use. At departure, financial review and room service still need their own handoffs.
- Keep the request visible. The property manager can compare a requested stay with confirmed bookings for the same resource and dates.
- Check the interval. Arrival is included and departure is excluded when checking occupied nights; party size must fit the resource capacity.
- Preserve the booking. Check-in and checkout change the existing booking so the guest, charges and service work keep the same link.
What to agree during setup
Agree who can accept a request, who checks overlap, and how the front desk handles a changed date or party size. Prepare a same-room collision, a duplicate confirmation and a cancellation. Decide how a group or company contact is named on the booking and how staff find that party from the reservation.
Have the Front Desk Agent record a request and the Property Manager check its resource and dates. Check the exact room, date boundaries and party size before confirmation. Rehearse a changed repeat request so it cannot silently create a second confirmed stay. Finance Officer should be able to find the same booking for checkout.
Check the handoff on an actual case
One room is requested for the same weekend by two guests. The front desk agent confirms the first after checking capacity and nights. The second request remains visible while another resource or date is discussed. At check-in, the agent works from the confirmed reservation rather than creating an unrelated stay. At checkout, the completed booking remains linked to charges, payment evidence and cleaning work.
Ask the Front Desk Agent to point to the requested booking and the Property Manager to explain why the first request fits. On arrival, locate the confirmed record before changing its state. At departure, check that the charge and task links still identify that booking.
