What you can do

Plan bookable capacity and dated daily rates

A property manager sets the capacity and type for a suite, then records a dated daily rate plan for that type. The front desk can see the offered room and the booking rate in the stay record. The rate plan gives the team a reference for the date and minimum-stay policy, while the booking preserves the agreed rate.

How the work is organized

Resources can be rooms, suites, venues, tables or treatment rooms. Each has a type, capacity and current state. Available means it can be considered for a booking; in use, cleaning and maintenance keep operational work visible. Rate plans use a start and end date, daily price and minimum days by resource type.

  • Name each resource. Property Manager maintains its type, capacity and current state before it appears in a booking.
  • Date the rate. A rate plan applies to a resource type and interval and carries a daily rate and minimum days.
  • Check the offer. The agreed booking rate stays on the booking while the resource and rate plan can change later.

What to agree during setup

Agree the names for each resource type and the capacity unit staff will use. Review seasonal rates and minimum days before the front desk takes requests. Decide who changes a resource from cleaning or maintenance to available after inspection, and how an exceptional rate is entered on a booking.

Agree who changes capacity and resource status. Compare a stay across a rate-plan boundary with a stay below the minimum days. Property Manager should settle the price and resource type before recording the booking rate.

Check the handoff on an actual case

A family requests a suite for three nights. The front desk agent checks the party size against the suite capacity and reads the applicable rate plan. After confirmation, the resource is held for those nights. When the family leaves, it moves into cleaning; the manager checks the service task before returning it to available.

Property Manager checks the suite type, capacity and dated plan for the family stay. The room must fit the party and be ready for use. After checkout, the manager checks its cleaning state before making it available for another booking.
