What you can do

Assign cleaning, maintenance and guest work to staff

A guest checks out of a room and housekeeping needs to inspect it before the next arrival. The room moves into cleaning, while a service task identifies the room, booking, assignee and due date. The task can move from open to assigned, in progress and completed. The room returns to available only after the inspection passes.

How the work is organized

Service tasks keep cleaning, maintenance and guest service work tied to a resource and stay. A team member identifies the responsible person and the linked user account. This lets the manager follow due work and see the assigned person without losing the connection to the guest booking.

  • Link the task. Each cleaning, maintenance or member-service task points to a resource, booking and team member.
  • Follow progress. Open, assigned, in-progress and completed states describe the task, while the room has its own state.
  • Inspect before release. Property Manager checks the finished work before changing the resource from cleaning to available.

What to agree during setup

Agree which task types the team uses, how an assignee is chosen and what a completed task means. Decide who inspects a cleaned room and who may return a maintenance room to available. Review active team members and user links before assigning tasks.

Check each team members record and its linked user before assigning work. Agree who receives due tasks and who can change a resource state. Rehearse a room with a completed task whose inspection has not yet passed.

Check the handoff on an actual case

A room is due for the next guest in the afternoon. The property manager sees it in cleaning and assigns the open cleaning task to a team member. The assigned Front Desk Agent records completion. The manager inspects the room and returns it to available; the next booking can then use a room whose turnaround is actually finished.

Property Manager assigns the cleaning task for the vacated room and checks its due date. The assigned team member completes the task. The manager inspects the room before changing its state; task completion alone does not release it.
