What you can do

Stays and bookings in daily work

A reservation begins with a booking party, a facility and a dated interval. Property Manager checks the number of places against capacity and reads the requested arrival and departure together. A request should be confirmed only after the manager checks capacity and the full interval. The confirmation check rejects a conflicting stay for the same facility before the customer receives a commitment.

Keep the reservation number as the stable reference when the guest asks for a change. The booking carries a nightly rate, but a later rate-plan edit should not silently rewrite an existing booking. At arrival, the team uses the confirmed reservation to identify the correct party and facility. At departure, account review and room turnaround follow the same linked record.

How the work is organized

  • Reservation identity. Use the reservation number when a guest or colleague calls.
  • Capacity check. Compare places with the facility capacity before confirming.
  • State handoff. Make the shift change visible through the booking status.

What to agree during setup

Agree who may confirm a request, how overlaps are resolved, and when a cancelled reservation releases a facility. Walk through a two-night request that crosses another booking and one whose party size exceeds capacity. The manager should decline both until the source details are corrected. Decide who updates a booked rate and who may alter the arrival interval once the booking is confirmed.

Check the handoff on an actual case

Take a Requested reservation for a party of two at an available facility. Verify its start and end dates, then have Property Manager confirm it. Front Desk Agent sees it on the arrival schedule. When the guest arrives, check in against that exact reservation. Before check-out, Finance Officer reviews linked charges and confirmed payment receipts. After checkout, the facility moves to cleaning rather than being offered immediately to another guest. The manager waits for a passed inspection before returning it to service, and the desk checks the facility status before offering another stay. If the stay details change before confirmation, the manager checks the revised dates and capacity again.

What your team sees

  • Requested Bookings — See reservations awaiting a capacity and date decision, with their party and facility.
  • Arrival and Departure Schedule — Compare start and end dates for confirmed and checked-in stays.
