What you can do

Give each screening a dated place in the workload

A Screening Camp Coordinator creates a camp with its screening date, screening type, participant and staff member. The status starts Scheduled and can show arrival, work in progress, review and completion. The Screening Camps Workspace gives the coordinator a place to inspect current operational state. Staff can use the camp reference to keep notes, measurements, specimens and dispensations tied to the same screening.

Treat each camp as a specific encounter. A participant may return for another screening, so the team should identify the correct date and type before attaching evidence. A camp can be Cancelled; the history should still explain why the planned work did not happen. Started and ended times can support a schedule view and help staff distinguish preparation from actual work.

How the work is organized

  • Plan the slot. Put the screening date, type, participant and staff member on the camp record before the team arrives.
  • Record actual progress. Move the camp through arrival and in-progress states as the work takes place.
  • Collect evidence by reference. Link each observation, note, specimen or dispensation to the camp that produced it.

The coordinator manages the camp record. Screening Staff can view the camp while capturing linked clinical work. A reviewer can open the same camp and its evidence when the work reaches awaiting review.

What to agree during setup

Agree whether the screening date identifies a session, an individual appointment or another unit of work for your team. Decide who records arrival and the actual start and end times. Make the transition to awaiting review meaningful: the reviewer should know which linked notes and specimens are expected before inspecting the case. Name the coordinator who closes or cancels a camp and specify when that decision is allowed.

Use the participant and staff references consistently. If a staff member changes, the camp record and any effective team assignment should tell the same story. The coordinator and reviewer should work from the same camp records, even when the coordinator sorts upcoming work by date and the reviewer uses a status board.

Check the handoff on an actual case

Create a scheduled screening for a registered participant and assign a staff member with a verified privilege. Check that the record appears in Scheduled camps and Camp schedule. Record arrival, then have staff capture one observation and one note against the same camp. When the coordinator marks the camp awaiting review, ask the reviewer to locate it in Awaiting camp review and inspect the linked evidence. Complete the record only after the review has been handled. Repeat the exercise with a cancelled camp so staff know where the abandoned plan remains visible.

What your team sees

  • Scheduled camps — Upcoming screenings with their participant, date and staff member.
  • Camp schedule — Planned and active camps with actual start and end fields available for review.
  • Camp status board — A compact status view for handoffs between planning, screening and review.
