What you can do
Establish who may take part
The Screening Governance Administrator maintains people, clinician privileges and team assignments. A privilege identifies its type, license number, issuing authority, verification evidence, effective dates and status. The administrator can review a Pending privilege and mark it Verified after checking the record. A separate team assignment identifies the participant, screening staff member, access purpose and effective dates. These records explain both professional eligibility and the intended assignment.
The Clinical Privileges and Details page is the governance administrator’s entry point for privilege work. The Screening Reviewer can read the evidence when reviewing a camp. Screening Staff can view privilege and assignment records while handling assigned operational work. The administrator should keep the person record linked to the relevant user account, because the staff member’s name on a camp has to identify the person who actually performed the work.
How the work is organized
- Identify the person. Maintain the staff name, role title, active state and user reference in People.
- Verify a privilege. Check license, issuer, evidence and effective dates before changing Pending to Verified.
- Set an assignment. Record the participant, staff member, purpose and effective interval rather than relying on a shared note.
A privilege can later become Suspended or Expired. An assignment can become Ended. Those states should prompt a new staffing decision for planned work. The camp’s screening staff reference and the assignment record give the coordinator a way to spot a mismatch before arrival.
What to agree during setup
Define which privilege types matter for the first screenings and who checks the attached verification evidence. Decide how often effective dates are reviewed and which administrator may change a previously verified record. Establish how a replacement staff member is recorded if a planned assignee becomes unavailable. The access purpose should be specific enough to explain why the person was assigned to the participant.
Permissions need rehearsal with real accounts. The configured governance role manages privilege, people and assignment records but reads participant records. It does not need broad access to clinical notes to perform that maintenance. The team should test direct record access as well as page navigation before inviting the operating staff.
Check the handoff on an actual case
Enter a clinician with a Pending privilege, a license number and attached evidence. Ask the governance administrator to inspect the issuer and effective dates, then mark the record Verified. Assign that clinician to a participant with an access purpose and valid dates. Create a camp for the same participant and staff member and have the coordinator check the alignment. Now change the privilege to Suspended in a rehearsal and review how the team identifies the staffing exception before the scheduled screening starts.
