Prepare the case with Proto

Use Proto to prepare loan cases, surface exceptions and support human review.

It can

  • Loan Owner: Prepare a loan draft from a named item, due date and requested copy count for the owner to check.
  • Independent Reviewer: Gather the current loan revision, item eligibility note and linked evidence for a decision.
  • Admissions Coordinator: Compare requested copies with reserved and admitted lines before a custody action.
  • Operations Analyst: List receipts needing review with their expected revision and discrepancy reason.

Stays with a person

  • Proto cannot decide collection eligibility, approve its own prepared request or declare a provider payment complete from a local status alone.
  • The named people review the source record, decision and verified external effect before release.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Establish ownership

Create the operating organization, staff membership and active collection items with contacts and eligibility notes.

  2. Prepare loan cases

Enter representative loans with different due dates, copy counts and counterparty items.

  3. Rehearse review

Submit a loan, return a version for correction and record an independent approval of the current revision.

  4. Exercise custody

Reserve copies, admit a line and confirm a repeat action does not create a duplicate effect.

  5. Verify effects

Connect provider evidence, reconcile operation receipts and review a discrepancy before closing the pilot.

FAQ

Questions, answered

Scope, rollout and pricing for Heritage / Museum Management.

All questions
How do I get started?

Click Get started, then use Proto to configure Heritage / Museum Management for your business. Start with one organization, a representative item and a loan the team can follow through review.

What does the app keep for each loan?

It keeps the named subject, owner, collection item, due date, copy count, status and revision, with linked decisions, event lines, attachments and operation receipts.

Can we review exhibition use separately?

Yes. An exhibition request links to its parent loan and carries its own event, ticket quantity and review state.

Who decides whether a loan is approved?

An Independent Reviewer examines the current revision and evidence, then records a decision and reason.

How do we see what was actually admitted?

The loan-event line records its admitted date and provider receipt. Compare that line with reserved quantity on the same parent.

What happens when a requested quantity changes?

The team reviews the current loan revision. Earlier decisions stay tied to the version that was examined.

Can we cancel an unused reservation?

The owner can release unused scope through the controlled correction path. Issued history remains attached to the loan.

How is payment completion checked?

The Finance Reviewer checks provider evidence, and the Operations Analyst reconciles the operation receipt with the recorded effect.

Where do evidence files belong?

Attach them to the parent loan with a title, evidence type, uploader and Internal or Shared visibility.

What should we do with a receipt needing review?

Read its failure reason and compare the local line and provider reference before resolving it. Reconciliation checks the existing effect.
