Ask for the next visit or task

Ask Proto to help inspect visits, tasks and care evidence within your access.

It can

  • Clinical Coordinator: Show scheduled encounters and due care tasks for the next operating day.
  • Licensed Clinician: Find assigned visits and patient tasks, then open the linked encounter before recording evidence.
  • Clinical Reviewer: Gather notes, observations, specimens and dispensations for an awaiting-review visit.
  • Clinical Governance Administrator: Find pending privilege records and active patient care-team assignments.

Stays with a person

  • A person must review clinical evidence and decide whether a charge is approved.
  • Give the agent access through the appropriate role and inspect the patient and encounter reference before accepting a proposed change.
  • Treat consent, privilege and payment decisions as team responsibilities.
  • Review agent usage and metering with the operating team as part of setup.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set up people and access

Enter staff, users and roles, then rehearse clinician, reviewer and governance access.

  2. Prepare patient intake

Agree patient-number rules, consent purposes and the handling of assignment changes.

  3. Run a visit cycle

Schedule a patient encounter, record arrival, care evidence, review and completion.

  4. Add follow-up and charges

Assign a dated care task and prepare a charge against a completed encounter.

  5. Extend specialty work

Add specimen and dispensation records where those activities occur, then plan external handoffs.

All questions
How do I get started?

Click Get started, then use Proto to configure Home Healthcare Management for your business. Begin with staff, patient numbering and one visit cycle from scheduling through documentation and review.

Can I schedule a visit for a patient?

Yes. Create an encounter with the patient, clinician, visit type and scheduled date. The visit can move through arrival, in-progress, awaiting-review and completed states.

How are clinicians assigned to patients?

The patient record has an assigned clinician. Each encounter also names its clinician, and a care-team assignment records a patient-specific access purpose and effective period.

Where do visit notes and measurements go?

Clinical notes and observations both link to the encounter. Notes keep the author and signing details; observations keep the recorder, metric, value, unit and observation date.

How is follow-up work tracked?

A care task names the patient, assignee and due date. Its status shows open, in-progress, completed, escalated or cancelled work.

How do we track consent?

A patient has a current consent indicator. A purpose-specific consent record holds its version, document, signed date, expiry and status.

Can we check clinician privileges?

The governance team can maintain clinician privilege records with a type, issuing authority, verification evidence, effective period and status.

Can a visit include specimens or medication dispensations?

Yes. Specimens track processing status and accession details. Pharmacy dispensations record medication, lot, quantity, unit and authorizing person against the encounter.

How are charges and payments related?

A charge references an encounter. A payment references a patient and has its own receipt details and status. Use the patient and payment reference when reconciling them.

Can other systems participate?

Billing, laboratory and pharmacy handoffs can be planned during implementation. Agree identifiers and record ownership for each connection before using it in an operating cycle.
