Ask Proto to prepare the next review

Ask Proto to help inspect and configure the hospital's connected work.

It can

  • HR Manager: Show submitted leave requests with dates, employees, types and approvers, then open the underlying record for a decision.
  • Payroll Officer: Compare a run's period and totals with its employee statements and identify lines that need review.
  • Hospital Operations Owner: Find documented episodes with unresolved follow-up and show the assigned person and due date.
  • Service Reviewer: Gather the episode revision, charge lines and evidence references for an independent decision.

Stays with a person

  • A person must review the evidence and record approval where a decision is required.
  • Keep clinical, payroll and finance source references under the hospital's normal controls.
  • Proto can organize the records for inspection; the responsible role makes the decision.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree ownership

Name the people responsible for employee records, service episodes, independent review, payroll runs and external reconciliation.

  2. Load structure

Set up organizations, departments, locations, positions, hospital department definitions, pay grades and payroll calendars.

  3. Prepare people

Check employee and operational People records with managers, approvers and owners assigned.

  4. Rehearse cases

Follow one hiring handoff, one timesheet and leave request, one payroll period and one service episode through charge review and reconciliation.

  5. Review access and results

Open each role’s views, compare run totals and service values, then agree who resolves any difference.

FAQ

Questions, answered

Scope, rollout and pricing for Hospital + HRMS + Accounting.

All questions
How do I get started?

Click Get started, then use Proto to configure Hospital + HRMS + Accounting for your business. Start with one organization, department, employee, payroll calendar and representative service episode.

Who owns a service episode?

The episode names an operational owner from People. Charge lines, evidence, decisions and follow-up point back to that episode.

How is a service decision recorded?

A reviewer records a decision against the episode revision, with a reason and evidence reference. The owner can then inspect that decision before closure.

Can we see work by service date?

Yes. The service calendar uses the date and status on each episode to show registered and scheduled work.

Where do charge differences go?

A charge line has its own outcome. External reconciliation compares expected and confirmed amounts for the episode, and follow-up can name the person resolving a difference.

How are employees organized?

Each employee points to a position, department, location and payroll calendar. Employment history stores dated lifecycle events.

Can managers review time and leave?

Timesheets and leave requests each have an approver reference and statuses for submitted, approved and rejected work.

What can payroll inspect before approval?

Payroll Officer and Finance Reviewer can inspect run periods and totals, employee statements and categorized statement lines.

Are tax filings connected to a run?

Yes. A filing refers to a payroll run and jurisdiction and records amount, due date, status and confirmation reference.

Which systems should we connect?

Plan the clinical record, staff assignment, payroll or finance, general ledger and tax filing handoffs around the references on the relevant records.
