What you can do
Bring dated work and absence into review
An employee’s timesheet covers a week and holds the approver, total hours and review status. Time entries record hours by day, category and cost center. A submitted sheet gives HR Manager a practical review queue before its status changes to approved, rejected or posted. The sheet and entries remain tied to the employee through the header, which makes the period visible beside the person’s department and payroll calendar.
Leave requests carry a start and end date, leave type, employee, approver and status. Leave balances hold accrued, taken and pending amounts for a person and leave type as of a date. This lets the approver check a request against the recorded balance. The leave type defines category, country, employee class, accrual method, rate and documentation requirement. A decision should be made with those settings in view.
How the work is organized
- Weekly time. A timesheet collects dated entries and a total for one employee and week.
- Leave policy. Leave types define how a category is described and accrued; balances show the employee’s current figures.
- Review. The approver named on the request or timesheet can inspect the dates and recorded total before changing its status.
What to agree during setup
Agree which work categories are entered as regular, overtime, double time or on call. Decide how the department cost center should appear on individual entries and who corrects an entry for the wrong day. Put a named approver on each timesheet and request. Review leave types by country and employee class before accepting requests. If documentation is required for a type, agree who checks it and where the request’s documentation text is stored.
The weekly cutoff matters because payroll runs have their own period start and end. Agree how the Payroll Officer identifies approved sheets in that interval and how late corrections are handled. A leave request marked approved and a timesheet marked approved are separate decisions; check both for a week that includes absence and worked hours.
Check the handoff on an actual case
Choose a nurse with regular and on-call entries in one week. Verify each date, hour amount and cost center, then compare the header total with the entries. Put the sheet into the submitted queue and ask the approver to inspect it. For the same employee, enter a leave request covering two later days. Check the leave type, balance, date range and named approver before a decision is recorded. At the next pay period, check that the payroll team can find the reviewed time and leave context for the employee without mixing the two weeks.
