What you can do
Bring specialty activity back to the reservation
An outlet booking records its type, outlet name, start date, guest count and linked stay. Restaurant and spa are the recorded types. Front Desk Agent can capture the booking against the guest visit so Property Manager sees it alongside the stay. An outlet charge has its own outlet name, charged date, amount, status and stay reference; Finance Officer manages that financial record.
A restaurant reservation for a checked-in guest and a spa charge on the same stay are related but separate events. The booking tells the team where and when the guest plans to go. The charge tells Finance Officer what amount was recorded. Both should use the same stay reference when they belong to the same guest visit.
How the work is organized
- Plan. Use a dated rate plan for a unit type and minimum stay rule when deciding a nightly rate.
- Book. Record restaurant or spa attendance against the selected stay.
- Charge. Prepare and review the linked outlet amount before it is posted or voided.
What to agree during setup
Property Manager should agree how unit types match rate plans and when a rate plan’s effective dates apply. A plan includes a nightly rate and minimum nights; the stay carries its own nightly rate. Decide how staff handle a changed booking date without losing the originally agreed rate. Outlet staff should agree names for restaurant and spa locations and who checks guest count when an outlet booking is made.
Front Desk Agent submits the outlet charge against the selected stay; Finance Officer reviews the amount and account. They should agree how a booking leads to a charge. The charge record uses Draft, Posted and Voided, so review the stay, outlet and amount before posting. A missing booking should be investigated on the source stay rather than hidden by adding an untraceable folio amount.
Check the handoff on an actual case
Create a dated rate plan for the room type, then review a requested stay whose dates and length fit its plan. Check that the stay’s nightly rate is the value the team agreed. Add a restaurant booking for that stay and verify its date and guest count. Add an outlet charge with the same stay and outlet name; Front Desk Agent submits its draft and authorized posting; Finance Officer reviews the amount.
Now test a spa booking for a different stay. The schedules should keep the two guest visits distinct even if they share an outlet name. Ask Operations Reviewer to inspect the booking evidence submitted for review. At departure, the team should know which outlet charges are posted and which are still drafts.
