What you can do

Keep a task tied to the stay and room

A service request records the task type, due date, unit, stay and assigned staff member. This gives the team a common record for cleaning, maintenance and guest service. The task number lets the front desk and Property Manager discuss the same job even when room turnover and a guest request happen at the same time.

A cleaning task after check-out needs the departed stay and unit. A maintenance task during an occupied stay needs the same links so staff understand its context. The assigned staff record connects the person to a user account. The task status moves from Open through assignment and work to Completed; a due date helps the manager spot work that needs attention.

How the work is organized

  • Intake. Record the task type and link the correct room and stay.
  • Assignment. Name a staff member and move the request from Open to Assigned.
  • Completion. Track work in progress and record when it was completed.

What to agree during setup

Decide who assigns each kind of work and which staff records are active. Agree how urgent maintenance and a guest service request are prioritized, since the task contains a due date but no priority field. Define what a completed cleaning task means for room inspection. The room should return to Available only after its condition has actually been checked.

Front Desk Agent and Property Manager both manage service requests. They should agree how handoffs are handled when a person is unavailable and which role verifies a room after cleaning. Keep the staff account link current, so the person assigned in the task can be identified by the team.

Check the handoff on an actual case

Take a checked-out stay whose room is marked Cleaning. Create a Cleaning request against that unit and stay, assign an active staff member, and set a due date. Work it through Assigned and in progress to Completed, recording the completion date. Property Manager then verifies the room before it returns to Available. If the work is unfinished, the room should stay in Cleaning.

For a second case, create a Maintenance request for an occupied unit. The linked stay tells staff which guest visit is affected. Check that the service board shows the task type, assigned person and status, while the due list draws attention to the date. A task for a different unit must not be mistaken for proof that this room is ready.

What your team sees

  • Service Work Board — Follow open, assigned, active and completed tasks by room and person.
  • Service Work Due — Find tasks whose due date needs a manager’s attention.
  • Rooms Needing Cleaning — See rooms waiting for turnover work.

Follow the work through

Use service assignment to rehearse a task, and arrival to room release to follow the room after departure.
